Overview The Facilities Project Manager plays a crucial role in overseeing AmTrust's real estate portfolio and property management operations for AmTrust in the US. The Facilities Manager will be responsible for real estate or facility requirements related to both owned and leased locations and will work closely with internal business units and will manage critical external vendors related to our offices. Duties include all aspects of facilities management including strategic planning related to workplace locations and designs, supporting all site leaders in each location, supervising reception and mailroom teams and supervision of tenant construction build-outs and ad hoc special projects as they arise Responsibilities * College Degree, preferred * 5+ years in a project coordination/management or real estate role * High level of professional conduct and attention to detail * Ability to interact with and assist all levels of employees and vendors * Experience with workplace management software (e.g. Office Space), Workday, Service Now, Microsoft Office Suite Skills, including Excel proficiency * Excellent negotiation, communication, problem-solving, and interpersonal skills. * Proven leadership ability with experience managing teams and driving results in a complex organizational environment. * General analytical, organizational, and reporting skills, including the ability to plan ahead and prepare high-level presentations and reporting. * Good written & verbal communication. * Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. * Self-motivated individual with problem solving skills. * Some travel may be required. Qualifications Manage the facilities operations for all AmTrust offices in the US. Work with local office site leaders and supervise reception and mail rooms. Supervise office moves, space assignments & office layouts. * Oversee the facilities operations for AmTrust's real estate portfolio, including leased and owned properties. * Implement Office Space software across the U.S. portfolio and use platform to generate enhanced reporting and analytics and to support various types of office utilization * Conduct regular strategic reviews of company's current and projected office needs and develop recommendations for optimizing office space utilization and design across the U.S. * Manage facility vendors across the portfolio * Supervise buildouts and office closures working with local office leads * Maintain up to date floor plans, seating charts & stacking plans * Assist in property-related requests for information & data * Supply procurement & ergonomic requests fulfillment * National furniture ordering for new offices & revamping existing offices with new furniture layouts * Liaison for AmTrust employees, property management, and vendors * Plan, bid, award & oversee capex/construction projects * Work with AmTrust Infrastructure & IT related to facilities invoice processing * Oversee the health and safety of AmTrust's offices * Investigate & resolve complaints & concerns, employ mediation & negotiation skills * Create procedures & manuals as necessary * Maintain active & inactive folders on Real Estate share drive * Foster a collaborative and inclusive work environment that promotes teamwork, innovation, and professional development.
