Administrative Assistant

This position requires an active NACI clearance or the ability to obtain a NACI clearance to be considered.

CNOS is seeking for an Administrative Support (Secretary III) to join CDC's Division of Global Migration and Quarantine (DGMQ). This role involves working closely with branch and division leaders to create a spend plan for the upcoming year, based on previous year's information and input from leadership. The successful candidate will also be responsible for managing and maintaining the budget, providing calendar support, clerical tasks, and liaising with division staff on behalf of the branch.

Pay commensurate with experience.

Administrative Assistant Responsibilities Include:



  • Manage a broad range of administrative tasks, but not limited to manage busy calendars, schedule meetings, set up calls, distribute agendas, and taking detailed notes or minutes during meetings.
  • Track all ORISE and Title 42 fellows for the branch by maintaining an updated list of fellows and their funding sources, accounting numbers, and anticipated salaries.
  • Provide travel support for roughly 10 FTEs by creating/entering international travel requests into the Global International Travel System.
  • Provide budget oversight to the multiple funding streams that support the branch's activities.
  • Collaborate with branch leadership and division budgetary staff to develop and update the ongoing fiscal year spend plan for the branch, ensuring that planned and anticipated projects and expenses are appropriately listed, and obligated expenses are correctly reported and tracked.
  • Ensure all expenses are charged against the correct accounting stream by working with division budgetary staff.
  • Track funding allocations, expenses, and requests for funding so that all pertinent financial information is available for branch leadership review.
  • Execute branch expense requests in various systems as appropriate, whether that be a credit card purchase request or a request to utilize available emergency response funds.
  • Coordinate with the division staff to relay this funding information, so that all personnel action details can be verified and completed within appropriate timelines.
  • Performs other job-related duties as assigned



Administrative Assistant Experience, Education, Skills, Abilities requested:



  • Associate degree from an accredited college or university required. Bachelor's degree or higher preferred.
  • Minimum of 3-5 years of experience of administrative experience.
  • Minimum of 3-5 years of experience of budgetary experience
  • Office Procurement experience required.
  • Executive calendar management required.
  • Proficient in Microsoft Office applications
  • Proficient in Microsoft MS Excel as an Expert User
  • Ability to manage multiple high-priority assignments
  • Possess excellent communication and organizational skills with the ability to multitask, set priorities, and meet deadlines
  • Highly proficient in Microsoft Office suite including Excel, Outlook, OneNote, Word, and PowerPoint.
  • Proficient in video conferencing platforms (Microsoft Teams and Zoom) and Concur.
  • Must pass pre-employment qualifications of Cherokee Federal
