Purpose of Position
  • Obtains travel and hotel accommodations and car rentals for guests and employees.
  • Obtains tickets itineraries, and compiles reports of transactions by performing the following duties.
Tasks and Responsibilities
  • Obtains confirmation of travel and lodging space and rate information.Reviews and researches airline fares in order to achieve the best price in accordance with requested travel times and dates.
  • Submits requests to Travel Company for airline tickets. Receives proposed itineraries and confirms final travel schedule.
  • Prepares passenger travel booklet containing copy of itinerary, written lodging confirmations, car rental confirmation, and other pertinent information.Maintains current directory of hotels, motels, and vendors and answers inquiries concerning routes, fares, accommodations and other travel issues.
  • Reviews routine invoices of transportation charges, and types and submits reports to company.
  • Audits expense reports.
  • Manages Petty Cash and keeps an accurate log of deposits and withdrawals.
  • Compiles and submits report to management as requested.
  • Maintains travel profiles for travelers.
  • Prepares and types claim forms for refunds and adjustments and reports of transactions processed.
  • Exhibit and practice professional and courteous behavior while interacting with both internal and external customers.
  • Interact within a cooperative environment through beneficial behavior, commitment to common goals, contribution to problem solving, communication of ideas and suggestions, and encouragement to other employees and departments.
  • Accountable for the control and distribution of documents and/or equipment subject to export control restrictions and the security of FSI materials, projects and business information regarding the methods and techniques used in the production and usage of FSI products.
  • Accountable for the accuracy and completeness of assigned tasks.
  • Able to adhere to a work schedule including prompt and regular attendance.
  • Ability to work in a constant state of alertness and safe manner.
Minimum Education
  • Administrative Assistant or Business Certificate
Minimum Experience
  • A minimum of two years related experience and/or training; or equivalent combination of education and experience.
Knowledge, Skills, Abilities
  • SOFTWARE KNOWLEDGE AND SKILLS:Internet, Microsoft Office, Word and ExcelEQUIPMENT KNOWLEDGE AND SKILLS:PCas, ten key and basic office equipment LANGUAGE SKILLS:Fluency in English, through both verbal and written communications; Able to read and interpret documents: Able to write routine reports and correspondence: Able to speak effectively before groups of customers or employees of organization.
  • MATHEMATICAL SKILLS:Able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. REASONING ABILITY:Intermediate Skills: Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; Able to deal with problems involving several concrete variables in standardized situations.
