Purpose of the Role

The Transportation Administrative Specialist plays a key role in ensuring the efficient coordination of personnel and material movements across project sites. This role supports the safe, timely, and cost-effective transportation of resources, aligning with our broader commitment to sustainability, operational excellence, and customer success.

This position operates within dynamic project environments and provides critical support to field operations by managing complex transportation logistics, maintaining accurate records, and collaborating closely with internal teams, external vendors, and project leadership.

Key Responsibilities




  • Coordinate transportation logistics for workforce mobilization and demobilization, ensuring compliance with project schedules, safety protocols, and regulatory requirements.



  • Manage transportation documentation including travel requests, manifests, trip reports, driver logs, and vendor records.



  • Serve as the primary point of contact for transportation-related inquiries from internal teams, field staff, and contractors.



  • Liaise with third-party transportation providers to confirm schedules, resolve issues, and ensure service reliability and cost control.



  • Maintain detailed and accurate records of transportation activities, costs, and utilization to support reporting and analysis.



  • Track and update vehicle assignments, usage logs, fuel consumption, and maintenance schedules.



  • Assist with the development and implementation of transportation procedures and continuous improvement initiatives in alignment with project goals.



  • Provide training and guidance to less experienced team members, promoting consistency and compliance with established processes.



  • Utilize transportation management systems and project tools to streamline workflows and support real-time data access.



  • Collaborate with HSE, HR, and project management teams to ensure the transportation of personnel and materials meets safety, environmental, and logistical standards.





Qualifications / Skillset




  • Secondary school diploma or equivalent, with substantial administrative experience in transportation or logistics support roles.



  • In-depth understanding of transportation coordination, vehicle scheduling, and regulatory compliance in large-scale project environments.



  • Proficiency in managing and maintaining digital and manual recordkeeping systems related to transportation.



  • Strong interpersonal and communication skills with the ability to collaborate across multiple departments and stakeholder groups.



  • Demonstrated ability to work independently and make informed decisions within defined procedures and project goals.



  • Skilled in prioritizing tasks, managing time effectively, and handling shifting demands in a high-paced environment.



  • Familiarity with transportation management software, enterprise systems, and Microsoft Office applications.



  • Commitment to safety, operational efficiency, and sustainability in daily practices.
