Brief Summary of Job Duties

The Assistant Director of Student Conduct is a full-time, career staff member who serves as a member of the management team within Residential & Community Living (R&CL). As one of 8 functional units within Housing, Dining, & Auxiliary Enterprises, R&CL is responsible for the well-being and development of over 11,000 residents, manages the placement services for all students and families who live in university housing, and responds to student conduct matters across university housing. R&CL operates 24 hours a day, seven days a week, and has on-call staff available every day of the year.

Under the general supervision of the Director of Student Conduct & Behavioral Interventions, the Assistant Director utilizes restorative practices and an equity mindset as they:

  • Assist the Director with the adjudication of university-wide cases referred for disciplinary action, including cases warranting interim measures.
  • Maintain the administrative hearing processes as identified in the Student Conduct Code (within Campus Regulations) for university housing cases.
  • Oversee administrative case management and response coordination for student residents living in university housing and/or students utilizing services across Housing, Dining, & Auxiliary Enterprises - this includes Residence Halls, Undergraduate Apartments, Graduate Apartments, Family Student Housing Apartments, and the Dining Commons.
  • Directly supervise 3 FTE staff (Conduct Officers) who support 29 professional live-in staff with conduct case management across all residential communities.
  • Serve as the departmental liaison for R&CL management team members regarding conduct inquiries originating in university housing.
  • Lead the student conduct team in the expansion and implementation residential curriculum grounded in student development theory, restorative practices, and harm reduction.
  • Ensure that the Conduct Officers and R&CL hearing officers (Assistant Directors of Student Live, Resident Directors, and Assistant Resident Directors) maintain a clear understanding of administrative procedures and educational initiatives across residential communities.
  • Develop effective working relationships with the 60+ colleagues that make up our R&CL staff.
  • Oversee and maintain the daily operations of the Student Conduct functional area.
  • Facilitate and manage training for student conduct across all levels in R&CL - this includes but is not limited to Resident Assistants, Assistant Resident Directors, Resident Directors, and Conduct Officers.
  • Collaborate to maintain consistent procedures, protocols, and practices within student conduct case management across all residential communities.
  • Serve on departmental and campus committees as determined necessary by the Director.
  • Maintain and advance the functional operation of case management software, Advocate, as indicated by the Director.

Required Qualifications

  • Bachelor's Degree in related area and/or equivalent experience/training
  • 4-6 years Experience in student conduct administration, preferably within a university housing organization in Higher Education.
  • 4-6 years Experience with Advocate (via Symplicity) database, or experience with a similar student conduct database and case management software.
  • 4-6 years Experience working in an environment requiring knowledge of FERPA and other privacy requirements.
  • Experience supervising full-time professional staff.
  • Experience leading and modeling practices that foster equity and inclusion in a diverse community of residents, student staff, and professional staff.
  • Experience working in a large public institution.
  • Experience working with varying student populations (e.g. transfer, non-traditional, graduate, family).
  • Experience infusing Diversity, Equity, and Inclusion principles into daily work.
  • Strong knowledge of common University-specific computer application programs.
  • Strong leadership skills to motivate employees and influence attitudes and behaviors.
  • Advanced knowledge of managing high level conduct cases with layered student needs.
  • Advanced knowledge of University and departmental policies, processes, and procedures.
  • Advanced skills in monitoring and assessing people, processes and/or services to make improvements.
  • Advanced skills in active listening, critical thinking, reasoning, organizing, written and verbal communication, multitasking and intercultural competence and uses these skills to develop original ideas to solve problems.
  • Advanced skills in project and program management, social perceptiveness to be aware of others reactions and understanding why they react as they do.

Preferred Qualifications

  • Master's Degree in Higher Education, Student Affairs, Education Policy or related field; and/or equivalent combination of education and work experience.
  • 2-4 years Experience directly supervising full-time staff in the area of Higher Education, Student Affairs, or Student Conduct.
  • 2-4 years Experience in University Housing, or a combination of University Housing and Student Affairs.

Job Functions and Percentages of Time:

CONDUCT CASE MANAGEMENT - 45%

  • Assists the Director with the adjudication of university-wide cases referred for disciplinary action, including cases warranting interim measures.
  • Maintains the administrative hearing processes as identified in the Student Conduct Code (within Campus Regulations) for university housing cases.
  • Oversees administrative case management and response coordination for student residents living in university housing and/or students utilizing services across Housing, Dining, & Auxiliary Enterprises - this includes Residence Halls, Undergraduate Apartments, Graduate Apartments, Family Student Housing Apartments, and the Dining Commons.
  • Manages R&CL's conduct case load by distributing cases amongst 3 Conduct Officers.
  • Maintains consistent procedures, protocols, and practices within student conduct case management across all residential communities.
  • Manages the recruitment, selection, training, and caseload of University Housing Hearing Board in partnership with the Director.
  • Facilitates higher level Administrative Hearings.
  • Investigates conduct cases and makes appropriate decisions regarding appropriate jurisdiction (Administrative, Restorative Justice, Mediation, Counseling, or Conduct).
  • Conducts pre-hearing conferences with residents and university housing staff.
  • Prepares the post-hearing recommendation letters of the hearing body and final decision.
  • Responds to third parties (Job Standards, campus partners, family, etc.) as it relates to case inquiries and provides general information on the conduct process where necessary.
  • Reviews sanction recommendations and assists in monitoring for consistency and appropriateness.
  • Interprets, conveys information, and enforces federal and state laws, University conduct and activity regulations, and housing regulations within campus residential settings.
  • Consults with Campus Counsel, UCPD, and California Penal Code for interpretation and application of laws.
  • Meets with the Director on a regular basis to review outstanding university housing cases and violations of the housing contract and/or the Student Conduct Code.
  • Consults with Director on interim actions on high-level behavioral cases.
  • Implements interim actions including but not limited to issuing immediate contract cancellation with exclusion, required relocations, or other interim requirements.
  • Meets with student residents living in university housing and/or students utilizing services across Housing, Dining, & Auxiliary Enterprises to resolve conduct violations.
  • Serves as a departmental trainer and facilitator for Restorative Justice.
  • Maintains and evaluates the Restorative Justice Program in R&CL.
  • Supports R&CL with mediation needs and referrals.
  • Conducts follow-up meetings and writes behavioral contracts with residents who show an inability for self-care.
  • Trains and/or participates in training for live-in staff regarding conflict resolution.
  • Trains live-in staff on campus student conduct processes and oversees the training of the use of the Advocate software. - Departmental point person for partnership with ADP (tracking ADP sanctions, maintaining joint database, training, etc).

ADMINISTRATION - 45%

  • Ensure the R&CL Conduct Officers and hearing officers (Assistant Directors of Student Live, Resident Directors, and Assistant Resident Directors) maintain a clear understanding of administrative procedures and educational initiatives across residential communities.
  • Directly supervise three professional staff (Conduct Officers) and support 29 professional live-in staff with conduct case management across all residential communities.
  • Serve as the departmental liaison for R&CL management team members regarding conduct inquiries originating in university housing.
  • Facilitate and manage training for student conduct across all levels in R&CL - this includes but is not limited to Resident Assistants, Assistant Resident Directors, Resident Directors, and Conduct Officers.
  • Maintain consistent procedures, protocols, and practices within student conduct case management across all residential communities.
  • Lead the student conduct team in the expansion and implementation residential curriculum grounded in student development theory, restorative practices, and harm reduction.
  • Provides regular conduct status reports to the Director and Executive Director.
  • Assists in the coordination of the overall safety and security plan with the Community Service Officers and University Police detailing security procedures for the facilities and respond to the needs of the community.
  • Assists in providing annual/quarterly reports to the Director and Executive Director regarding conduct activities across housing.
  • Annually revises the policy sections of University Housing Contracts.
  • Maintains and advances the functional operation of case management software, Advocate, as indicated by the Director and Executive Director.
  • Revises the website and staff training manuals under the guidance of the Director.
  • Assists in formulating, implementing, and evaluating annual and longer-range goals and objectives for the department on a quarterly and yearly basis.

DEPARTMENTAL RESPONSIBILITIES - 10%

  • Serves as a R&CL point person for high-level conduct matters for after-hours consultation.
  • Serves on departmental and campus committees as determined necessary by the Director.
  • Operates as member of Residential & Community Living Management Team.
  • Assist R&CL with departmental hiring, training, and recruitment efforts.
  • Represents the department and/or unit through service on campus, community, and professional organizations.
