About the NC State College of Education
As one of the nation's top-ranked colleges of education, NC State's College of Education leads the way in North Carolina in preparing extraordinary educators, conducting transformational research, and engaging communities where they are to improve the educational outcomes of all learners and advance the greater good.
The college's faculty are widely-recognized thought leaders who use their research to transform the practice of teaching, learning, and leading. They have particular strengths in improving technology-enhanced learning and teaching; fostering community-based learning and PK-16 partnerships; and innovating leadership and workforce development, educational policy, and evaluation. About two-thirds of the faculty are grant active. They are engaged in over 225 active projects totaling $151 million, making them the most productive in terms of research activity compared with other colleges of education in North Carolina and among the Top 5% in the nation. In FY24, the college's research expenditures exceeded $20 million.
The college has over 1,600 students studying across five graduate certificates, seven undergraduate majors, two undergraduate minors, 13 master's degrees, three Ph.D., and two Ed.D. programs housed in three academic departments: Educational Leadership, Policy, and Human Development; Science, Technology, Engineering, and Mathematics Education; and Teacher Education and Learning Sciences, with approximately 130 tenure-track and professional-track faculty, 110 support and professional staff, and about 160 graduate and teaching assistants. The College of Education is also home to the Belk Center for Community College Leadership and Research, the Friday Institute for Educational Innovation, and Elevate, NC State's inclusive postsecondary education program for students with intellectual and developmental disabilities.
The college has over 18,000 living alumni, with over 6,000 working in public schools in every county in North Carolina. Those who are teachers rate among the highest in effectiveness on surveys of school employers in North Carolina.
NC State promotes an integrated approach to problem solving that transforms lives and provides leadership for social, economic, and technological development across North Carolina and around the world. NC State's land grant mission of teaching, research and service is dedicated to the service of North Carolina and its people. Applicants are encouraged to review the institution's mission, vision and strategic plan, and consider how their background, interest and experience would enable them to support the university

GSSP) eligibility, course scheduling, and graduation clearance. You will also support departmental events, interpret graduate policies and procedures, and provide timely guidance to students, faculty, and staff to ensure accurate records, effective program operations, and compliance with university requirements.
Key Responsibilities
Graduate Program Administration
- Coordinate graduate program administrative processes from application through graduation, including application review, applicant tracking, admissions communications, graduation clearance, and verification of GSSP eligibility.
- Interpret and apply departmental and Graduate School policies, procedures, requirements, and deadlines; identify outstanding requirements and coordinate resolution with applicants, students, faculty, and university offices.
- Maintain tracking tools for application status, degree audits, examination permits, GSSP eligibility, graduation requirements, and other program milestones.
- Monitor Graduate School policy and procedural updates, assess their impact on departmental processes, and communicate relevant changes to stakeholders.
- Coordinate graduation and convocation activities, including planning committee participation, event logistics, and on-site support.
Course Scheduling & Event Coordination
- Coordinate graduate course scheduling with faculty, program leadership, and university offices, reviewing schedules for accuracy, completeness, conflicts, and alignment with departmental needs.
- Enter and verify course information, coordinate scheduling updates, reserve classrooms and meeting spaces, and resolve non-standard scheduling or room requests through established university procedures.
- Coordinate administrative logistics for graduate student orientation, graduation activities, symposiums, and other departmental events, including ELPHD-related activities.
- Maintain scheduling records, operational calendars, and deadline tracking tools; anticipate peak-period needs and recommend process improvements to support efficient operations.
Student Records & Reporting
- Maintain confidential, accurate, and complete graduate student records from application through graduation, ensuring documentation meets departmental and Graduate School requirements.
- Review and reconcile applicant, student, and supporting documentation across SIS, SLATE, and departmental tracking tools to identify omissions, inconsistencies, and discrepancies.
- Research discrepancies, coordinate corrections with appropriate offices, and compile enrollment and student progress information for departmental reporting.
Customer Service & Administrative Support
- Provide timely, accurate guidance to students, faculty, and departmental stakeholders on admissions, graduate program requirements, deadlines, documentation, and administrative procedures.
- Serve as the primary administrative point of contact between departmental graduate programs and the Graduate School, coordinating inquiries and tracking issues through resolution.
- Prepare clear written communications explaining requirements, outstanding items, policy or procedural changes, available options, and next steps.
- Address non-standard or unprecedented graduate administrative issues by researching applicable policies, identifying solutions, consulting appropriate offices, and escalating matters outside the position's authority.
- Perform other duties as assigned that align with the role's scope and support effective operations and graduate program success within ELPHD.
If you are organized, detail-oriented, and enjoy supporting students and faculty through complex administrative processes, we welcome you to apply for the Graduate Services Coordinator position and contribute to the success of graduate programs within the College of Education.
