This is an unparalleled opportunity to leverage your expertise in a role where your strategic insights and flawless execution will directly influence brand perception and engagement on an international stage. You will be instrumental in crafting unforgettable moments that resonate with audiences worldwide, driving excitement and ensuring every event reflects the company's commitment to excellence.

Are you an event strategist who sees the big picture and masters the finest details? Do you combine a sharp marketing eye for pre-event promotion strategy with flawless operational execution? We are searching for an energetic and detail-obsessed professional with 4 to 7 years of hands-on experience to elevate our event strategy. In this role, you won't just keep timelines running smoothly-you'll help shape the buzz before doors open, align multi-channel promotion strategies with key cross-functional teams, and ensure global event execution is seamless, on-brand, and unforgettable. You will be a key player in bringing our brand stories to life through impactful events, collaborating across departments to create cohesive and compelling experiences.

What You'll Do

  • Drive End-to-End Event Logistics & Retroplanning: Take full ownership of event logistics, including retroplanning, developing master timelines, conducting venue research, managing product and swag ordering, and overseeing complete attendance and RSVP management for a variety of events and trade shows.
  • Cultivate Strong Vendor Relationships: Act as the primary point of contact for all external partners, including production agencies, venues, florists, photographers, A/V technical crews, and entertainment vendors, ensuring seamless collaboration and execution.
  • Shape Pre-Event Marketing & Cross-Functional Alignment: Bring a strategic marketing lens to all pre-event campaigns, working closely with Creative, Digital, Marketing, and Education teams to build excitement, maximize attendance, and ensure consistent messaging.
  • Develop Impactful Creative Briefs: Draft clear, concise, and impactful briefs for event invitations, digital collateral, and physical production assets, guiding creative teams to produce on-brand materials.
  • Ensure Global Communication & Consistency: Communicate schedules and updates seamlessly across internal stakeholders and international markets, ensuring everyone is aligned and informed.
  • Manage Financial Ownership & Budget Integrity: Take responsibility for tracking event spend, negotiating vendor contracts, opening purchase orders, processing chargebacks, and maintaining strict budget integrity across all projects.
  • Establish Global Standards & Tracking: Build robust tracking processes for international events to identify coverage gaps and craft global guidelines that enforce brand and trade show consistency across all markets.

Must-Have Qualifications

  • 4-7 years of hands-on experience in event planning, execution, and logistics.
  • A strong marketing mindset, understanding how pre-event promotion drives attendance and engagement; you don't just plan events, you strategically market them.
  • Exceptional interpersonal and communication skills, adept at negotiating with vendors, briefing creative teams, and guiding global partners effectively.
  • Highly organized, proactive, and a master of process and timelines, thriving when managing multiple complex projects simultaneously.
  • Detail-obsessed and adaptable, capable of keeping all aspects of an event running smoothly without missing a beat.

Nice-to-Have Qualifications

  • Previous experience with trade show planning and execution.
