Summery:
The Administrative Assistant II provides essential administrative and clerical support to the Wilsonville, OR operation. This position is primarily desk-based and requires a highly organized, detail-oriented professional who can effectively manage multiple responsibilities while working independently. The role supports payroll processing, driver qualification file administration, and a variety of general administrative functions to ensure efficient daily operations.
The ideal candidate possesses strong communication skills, excellent organizational abilities, and a proactive approach to taking on additional responsibilities. Success in this role requires proficiency with Microsoft Excel and Microsoft Teams, attention to detail, and the ability to work effectively with minimal supervision.
Key Responsibilities
- Assist with payroll administration and related data entry activities (approximately 30% of workload).
- Maintain and organize driver qualification files, ensuring document accuracy and compliance (approximately 30% of workload).
- Perform a variety of administrative and clerical duties, including filing, record maintenance, report preparation, and data management (approximately 40% of workload).
- Organize and maintain electronic and paper filing systems.
- Process incoming correspondence and maintain operational records.
- Schedule meetings, manage calendars, and support office coordination activities.
- Prepare reports, spreadsheets, and other business documents.
- Communicate professionally with employees, management, vendors, and external contacts.
- Support operational projects and administrative initiatives as assigned.
- Maintain confidentiality and accuracy when handling employee and company information.
Required Qualifications:
- High School Diploma or GED required.
- 0-3 years of administrative, clerical, or office support experience.
- Proficiency in Microsoft Excel and Microsoft Teams is required.
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Self-motivated with the ability to work independently and take initiative.
- Strong problem-solving and follow-up skills.
- Comfortable working in a fast-paced office environment.
Preferred Qualifications:
- Experience with ADP or payroll systems preferred but not required.
- Experience maintaining personnel or compliance-related documentation preferred.
