Job Summary

The Graduate Admissions Services Coordinator is the primary technical operator for all aspects of application processing, material organizing, decision rendering, and reporting as it pertains to the movement of applications through the graduate admissions funnel from submission to enrollment for graduate programs at Drexel University. This includes building data reports on funnel stages, updating application status, delivering decisions on behalf of the colleges, quality controlling and proofing of decision letters, managing decision timelines, and the awarding of scholarships and financial aid. The Admissions Services Coordinator works collaboratively with an assigned college or colleges within Drexel at the graduate level to review both domestic and international application materials, with the purpose of making admissions recommendations to their colleges. They will collaborate closely with the academic departments and our applicants throughout the decision process. The ideal candidate will be able to take initiative in a dynamic and fast paced organization and extrapolate and apply new learning across multiple programs to provide an exceptional applicant experience.

This is a Hybrid position, working 3 days on campus.

Essential Functions



  • Review for completion, accuracy, and anomalies all graduate level applications within scope, and vetting with senior leadership as appropriate.
  • Communicate with students who have application-related questions, updating their records accordingly
  • Coordinate with OPS for materials search and fulfillment
  • Work closely with Academic Information Services to assist in the build-out of application checklist items, application updates, decision letters, and portal information displays
  • Distribute scholarship information
  • Conduct quality control of admissions letters for accuracy in decision, provisions, and scholarship information
  • Develop and process reports at the request of departments
  • Coordinate with academic departments on requirements and reviewing standards for domestic and international applicants
  • Manage recruitment cycle calendars for each program and department, including deadlines, close of term process, and program openings
  • Provide consistent, excellent customer service for applicant inquiries
  • Maintain an understanding of program requirements and nuances across all verticals
  • Meet regularly and collaborate closely with the recruitment team to identify trends and brainstorm strategy
  • Other duties as assigned


Required Qualifications



  • Minimum of a Bachelor's Degree or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.)
  • Minimum of 2 years of administrative experience, preferably in higher education
  • Ability to work independently with complex data and minimal supervision
  • Exceptional attention to detail skills

  • A growth mindset, able to learn and maintain a robust knowledge of admissions systems and the best practices
  • Understanding of cyclical and changing priorities
  • Creative problem-solving skills and the ability to recognize when efficiencies are needed and solutioning and streamlining those processes
  • Ability to work some evenings and weekends to support admissions events as needed.

Additional Information

This position is classified as Non-Exempt, grade H. Compensation for this grade ranges from $18.89 - $28.33 per hour. Please note that the offered rate for this position will vary based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
