Project Manager - Global Material Review & Content Operations

Long term contract thru March 2027, with possible extension

Northern Suburbs of Chicago- Hybrid, 1-2 days onsite per week

We are seeking a highly organized and collaborative Project Manager to support global material review and content operations within a customer excellence organization supporting marketing and learning teams. This role will primarily partner with mobile and brand teams and collaborate closely with Medical, Regulatory, Legal, Compliance, marketers, project managers, creative agencies, and global affiliates. The Project Manager will serve as a key liaison throughout the material development and review process, ensuring projects remain on track, stakeholders are aligned, and required reviews and approvals are completed efficiently. The ideal candidate has strong project management, organizational, communication, and relationship-building skills. Experience in pharmaceutical or life sciences environments is a plus, as is experience with Veeva Vault PromoMats or similar content management systems.

Responsibilities:

Material Review & Content Operations



  • Own and manage the end-to-end material review process for assigned projects and brands.
  • Partner with creative agencies and marketing teams from initial material development through final approval.
  • Coordinate cross-functional reviews with Medical, Regulatory, Legal, Compliance, and other required stakeholders.
  • Ensure all required reviewers provide feedback and approvals within established timelines.
  • Provide process guidance and support to internal teams, creative agencies, and other stakeholders.
  • Serve as the primary liaison between brand teams, agencies, reviewers, and global affiliates.
  • Coordinate the distribution of materials and review information to countries and affiliates as needed.
  • Manage and facilitate meetings to drive collaboration, clarify questions, and reach decisions.
  • Track reviewer comments, decisions, action items, and next steps throughout the review process.
  • Ensure final approved materials are properly documented and stored within the appropriate content management system.
  • Support local review requirements for events, meetings, congresses, and other activities.


Project Management



  • Manage multiple projects simultaneously while maintaining timelines, priorities, and deliverables.
  • Monitor project timelines and identify potential delays, risks, or issues.
  • Coordinate agendas and schedules for concept, collaboration, and material review meetings.
  • Facilitate meetings effectively, ensuring discussions remain focused and decisions are documented.
  • Identify when escalation is required and communicate issues to appropriate leadership.
  • Develop solutions and contingency plans when challenges arise.
  • Coordinate with internal and external partners to ensure projects progress efficiently.
  • Lead or support special projects related to global material review and content operations.


Process Improvement & Best Practices



  • Identify opportunities to improve material review workflows, processes, and efficiencies.
  • Contribute to the development and implementation of new content review workflows.
  • Share best practices across teams and assigned brands.
  • Support continuous improvement initiatives, peer reviews, performance audits, and process optimization.
  • Monitor process KPIs and identify opportunities to improve efficiency and effectiveness.
  • Identify opportunities for process automation and increased operational efficiency.
  • Support content lifecycle management and content reuse initiatives across channels.


Collaboration & Stakeholder Management



  • Build strong working relationships across marketing, medical, regulatory, legal, compliance, creative agencies, and global teams.
  • Navigate complex stakeholder relationships and facilitate alignment across functions.
  • Lead meetings and discussions that require collaboration and consensus-building.
  • Communicate project status, risks, decisions, and concerns clearly and proactively.
  • Provide training and process guidance to internal and external stakeholders.


Required Qualifications



  • Bachelor's degree required.
  • 3-5 years of professional project management or related experience.
  • Experience managing non-IT projects in a complex, cross-functional environment.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Proven ability to build and maintain cross-functional relationships.
  • Strong communication, facilitation, and stakeholder management skills.
  • Demonstrated ability to take ownership of processes and drive projects from initiation through completion.
  • Strong problem-solving skills and the ability to navigate complex processes and competing priorities.
  • Ability to work effectively in a fast-paced, global environment.


Preferred Qualifications



  • Experience in pharmaceutical, biotechnology, healthcare, or life sciences.
  • Experience with Veeva Vault PromoMats or similar content/material management platforms.
  • Experience with Medical, Legal, Regulatory (MLR) or promotional material review processes.
  • Experience working with creative agencies or third-party suppliers.
  • PMP or Six Sigma certification.
  • Experience with content management, digital asset management, or content operations.
  • Experience working with global teams and international affiliates.
  • Familiarity with digital and interactive content workflows.
