About the Role

The Proposal Coordinator is responsible for developing high-quality, accurate, timely proposals in response to requests for proposals (RFPs) and requests for qualifications (RFQs), while supporting market research initiatives and maintaining GHT's customer relationship management (CRM) system. Responsibilities include, but are not limited to, the following:

  • Apply proposal development and writing best practices while leveraging knowledge of the firm's portfolio and the AEC industry to create compelling, competitive, and successful proposal submissions.
  • Work collaboratively with the team to develop and manage proposal schedules, track progress throughout the pursuit lifecycle, resolve obstacles, and ensure all RFP/RFQ requirements are met and submitted by established deadlines.
  • Participate in the Go/No-Go decision-making process by assisting in evaluating pursuit opportunities, assessing competitive and project-related risks, estimating win probability, and analyzing the potential strategic and financial benefits to GHT.
  • Collaborate with technical leaders to identify and showcase the most qualified staff, relevant project experience, and key firm capabilities for inclusion in responsive and competitive RFP/RFQ submissions.
  • Assist with pursuit strategy development for prime opportunities by collaborating with project teams to position GHT competitively, strengthen win strategies, and align proposal messaging with client priorities.
  • Proactively coordinate with GHT's administrative team to develop accurate and competitive fee proposals that align with client requirements and pursuit objectives.
  • Support post-submission activities, including lessons learned sessions, client debriefs, responses to client questions, and preparation for interviews and presentations, to strengthen pursuit outcomes and future win strategies.
  • Analyze pursuit outcomes and prepare regular reports to evaluate win rates, identify trends, and inform future business development and proposal strategies.
  • Oversee and track opportunities in Unanet CRM while maintaining a comprehensive database of client and project information to support marketing and business development initiatives.
  • Participate in training programs and professional development workshops to strengthen proposal writing expertise, refine best practices, and stay current on industry trends and emerging pursuit strategies.
  • Develop and maintain marketing collateral, ensuring all materials are current and aligned with GHT's content, branding, and graphic standards.
  • Register employees for business development events and maintain the corporate event calendar to ensure accurate tracking of engagement opportunities and participation.
  • Track and support the industry award submission process, coordinating content development, client references, and supporting materials to create compelling and competitive entries.
  • Lead market research, competitor analysis, client intelligence gathering, and CRM administration to support market sector growth strategies, business development initiatives, and pursuit planning.
  • Research new blogs and channels for trends and industry news. Stay informed on local trends in the DMV region, such as key people, trends, and project opportunities.
  • Assist with internal GHT events and HR initiatives, including company Intranet, employee training and events.
  • Other duties as assigned.

Qualifications

  • Experience: 2-5 years in a professional services environment; must have experience and understanding of technical service proposals. Strongly Preferred: Prior experience in the A/E/C arena with fundamental understanding of the industry, key players, decision-making process, local firms, and market trends.
  • Education and Training: Bachelor's Degree, preferably in Marketing, Communications, Graphic Design, or related field. GHT will consider work equivalent combinations of work experience and education on a 1-for-1 basis.
  • Possess excellent interpersonal, organizational, written, and communication skills. Maintain professional demeanor.
  • Be a self-starter and self-motivator who can perform tasks with limited supervision.
  • Possess excellent time management skills and be able to prioritize while working in a fast-paced environment, including working well under pressure and adhering to set deadlines and quality standards.
    1. Exceptional problem solving and attention to detail; produces accurate work to ensure quality.
    2. Demonstrate strong analytical and research skills.
    3. Collaborate with others on teams or work independently on tasks as directed.
    4. Experience with the following software: Microsoft Office (Word, Excel, PowerPoint, Outlook); Graphic Design (Adobe Creative Suite, Canva); CRM (such as Unanet or Deltek). Solid experience using Microsoft Windows.
    5. Essential Job Functions (must able to perform with or without reasonable accommodations): able to see (including distinguish colors), hear, and speak effectively; able to sit, stand, and walk.

    Other Requirements:

    • Currently authorized to work in the United States without current OR future visa sponsorship, or transfer of visa. GHT participates in E-Verify.
