OVERVIEW: McKim & Creed is seeking a personable, highly organized, and career-minded Administrative Assistant to join our Dallas, Texas office in support of our executive management team. The Administrative Assistant will provide high-level administrative and organizational support, including managing calendars, coordinating meetings and travel, preparing correspondence and presentations, tracking key dates and action items, maintaining records and documentation, updating internal policies and procedures, and assisting with a variety of administrative initiatives to ensure the efficient operation of the team. DURING YOUR WORKDAY, YOU WILL:
- The candidate will primarily provide general administrative support to the executive management team to include correspondence, calendar coordination, data and form tracking, internal policy updates, etc.
- Serve as primary point of contact for external visitors, vendors, property management, etc.
- Assist with onboarding/orientation of new staff
- Coordinate scheduling of employee appraisals to be conducted by management
- Maintain all confidential employee files, including employment paperwork and tracking of anniversary dates
- Perform general office management responsibilities and administrative tasks
- Perform proofreading, editing, and production of project-related documents
- Lead general receptionist and mail processing duties
- Coordinate internal meetings, including calendar management and catering orders
- Input expenses tracking and expense reporting for select management personnel.
- Be responsible for other related duties and special projects as assigned by management
WHAT YOU'LL NEED:
- Minimum of 4 years of relevant administrative experience, preferably in the A/E/C industry
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with SharePoint preferred but not required
- Advanced knowledge of MS Word, familiarity with styles, content controls, and template development preferred but not required
- Exceptional verbal and written communication skills
- Detail oriented with exceptional organizational and time management skills
- Ability to work independently as well as with a team
- Ability to maintain discretion and confidentiality in all matters
- Must be available Monday through Friday 8:00 AM - 5:00 PM
- Punctuality and reliability
