The Human Resources Specialist supports key HR functions, including employee relations, onboarding, benefits administration, recruiting coordination, and leave of absence processes. This role provides day-to-day HR support to employees and managers, ensures accurate processing of HR activities, and assists with maintaining compliance with employment laws and company policies.
The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development.

Essential Functions



  • Model, promote, reinforce, and reward the consistent use of HOLT's Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission

  • Work safely always and adheres to all applicable safety policies; complies with all company policies, procedures, and standards

  • Perform other duties as assigned

Employee Relations


  • Serves as a point of contact for employee inquiries related to HR policies, procedures, and programs

  • Supports managers with performance management processes and documentation, including disciplinary actions and coaching conversations

  • Ensures accurate and timely documentation of employee-related matters

  • Escalates complex employee relations issues, investigations, and sensitive situations to HR leadership as appropriate

  • Supports employee engagement initiatives and activities

Benefits Administration


  • Assists employees with general benefit-related questions and escalates more complex issues

  • Supports open enrollment activities, including employee communication and system updates

  • Maintains accurate benefit records and assists with compliance tracking/processes

Recruiting & Onboarding


  • Manages recruiting efforts, including job postings, sourcing, screening, and interview coordination

  • Partners with hiring managers to support the selection process for positions

  • Coordinates and facilitates onboarding activities to ensure a smooth new hire experience

  • Maintains applicant tracking system data and recruitment records

Leave of Absence


  • Coordinates administrative aspects of leave processes (FMLA, ADA, etc.)

  • Provides general guidance to employees on leave procedures and timelines

  • Maintains records and ensures documentation is complete and compliant

Training & Development


  • Assists with scheduling and tracking employee training programs

  • Supports learning initiatives and development activities

  • Maintains training records and reporting

Compliance & Administration


  • Maintains employee records and ensures data accuracy in HR systems

  • Assists with policy updates and HR communications

  • Supports audits and compliance-related activities

  • Stays informed of employment law requirements and escalates concerns as needed



Knowledge, Skills, and Abilities



  • Working knowledge of HR practices and employment laws

  • Strong organizational and administrative skills

  • Proficiency with HRIS systems and Microsoft Office

  • Strong interpersonal and communication skills

  • Ability to handle confidential information appropriately

  • Detail-oriented with strong follow-through

  • Ability to work in a fast-paced environment and manage multiple priorities

  • Ability to escalate issues appropriately rather than independently resolve complex matters



Requirements

Education and Experience:


  • High school diploma or equivalent required; Bachelor's degree or HR certification preferred

  • Minimum of 2 years of HR, administrative, or related experience required; 3 or more preferred

  • Bilingual (Spanish), preferred

  • None
Travel:


  • Up to 25% travel required; ability to travel frequently to and from meetings or other business-related events both inter-state and out of state

  • Valid Driver's License required

Physical Requirements:


  • This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc.

  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets

  • This position frequently communicates with employees, legal counsel, vendors, government agencies, and stakeholders; Must be able to exchange accurate information in these situations

Work Environment:


  • This job is generally performed in a professional office; in environmentally controlled conditions, operating computer, manual dexterity, talking, hearing, and repetitive motion

  • Frequently works at a fast pace with unscheduled interruptions
