This leadership role will support UCSF Benioff Children's Hospital Oakland and San Francisco. The manager plans, develops, implements and directs the daily clinical and business operations of the Neurodiagnostics Department. This is a hands-on leadership role involving regular interaction with supervisors and staff and facilitating several detailed activities such as creating the monthly schedule and initiating supply orders. The manager is responsible for all inpatient and outpatient activities at both Parnassus and Mission Bay hospitals. The manager is responsible for hiring, orienting and/or training new staff, supervising technical and administrative support staff, organizing daily workflow, overseeing effective operation and timely maintenance/repair of equipment, initiating customer service and performance improvement projects, and serving as a resource to physicians, staff, patients, visitors and the community.

The manager works collaboratively with the Adult and Pediatric Epilepsy and Neurodiagnostic Medical Directors to supervise the daily clinical operations of the EEG/Epilepsy service at Parnassus and Mission Bay Campus. The manager organizes the daily workflow and supervises the technical staff to ensure operation efficiency, technical quality and service excellence. The manager is also responsible for ensuring timely and accurate charge document submission, as well as developing, and monitoring the operating and capital budgets. The manager is responsible for the strategic growth and development of all Neurodiagnostic services. The manager will be responsible for developing new collaboration opportunities both internally and external to UCSF with the Director for Epilepsy Services.

  • Ensures adequate staffing to meet inpatient Neurodiagnostic services needs of the UCSF Medical and Benioff Children's Hospitals.
  • Ensures adequate staffing to meet growing outpatient Neurodiagnostic service needs in both adult and pediatric areas.
  • Ensures monthly staffing schedules are created and distributed. Responsible for adequate staffing to ensure patient coverage.
  • Monitors and investigates any complaints about Neurodiagnostic services. Responsible for analysis of work load measures, productivity and FTE size/mix. Holds administrative staff accountable for appropriate patient scheduling, pre-registration and registration processes, authorizations and insurance verification. Responsible for all operating expenses related to clinical services.
  • Resolves any issues that impact daily departmental functions in the delivery of clinical services.
  • Acts as a resource to all staff to clarify, guide, and facilitate the resolution of issues related to patient care, staff development or program development.
  • Provides oversight for all billing activities including accurate and timely charge submission, prompt correction of billing errors, ensuring timely and accurate revenue cycle process.
  • Provides support to supervisors to ensure accurate and timely submission of all employee time maintenance records to ensure accurate payroll reporting in HBS. Ensures communication with all staff regarding all department and Medical Center information and programs.
  • Ensures equipment/computer network & server integrity; works with Clinical Engineering and multiple vendors to minimize problems, patient/physician inconvenience and equipment downtime. Oversees ordering of equipment, supplies, clinical workstations, and associated software.
  • Provides support to administrative staff to perform at the level of APeX Cadence Super User to ensure that optimization programs are implemented.
  • Ensures that department maintains adequate inpatient and outpatient supplies to ensure while staying within budgetary guidelines
  • Oversees the development and implementation of departmental policies and procedures.
  • Responsible for building and maintaining relationships with others based on mutual respect and trust. Managing relationships includes relationships with patients, subordinates, peers and supervisors. Includes fostering collaborative decision-making among staff with diverse backgrounds and interests; working effectively towards solutions that consider the needs of all parties when conflict arises; providing regular updates on program process; and working with appropriate people to minimize risks and resolve problems.

  • Develops and implements policies and procedures for daily operations. Partners with managers across the organization to improve workflow and the patient care experience. Maintains and shares knowledge of current techniques, industry advances, and regulatory standards.
  • Oversees both Neurodiagnostic Supervisors and supports them as needed to ensure efficient daily workflow and ensures timely and excellent diagnostic and ancillary support services; organizes workflow according to urgency and acuity.
  • Ensures that all new employees receive appropriate orientation and training to department and Medical Center polices and processes.
  • Coordinates training and mentoring opportunities for new employees, students and incumbent staff to enhance existing knowledge, develop new job skills and to provide a positive work environment.
  • Develops, implements and manages ongoing Neurodiagnostic teaching sessions to provide continuing education.
  • Monitors ongoing technician/technologist performance; promptly addresses and initiates progressive disciplinary action when appropriate.
  • Ensures that all staff meet all expected competencies for their job.
  • Ensures clinical and service quality through direct observation, record review and feedback; develops and implements measures to improve quality, efficiency and productivity.

  • Develops implements and ensures staff compliance with all departmental policies and procedures, in accordance with the American Board of Clinical Neurophysiology, the Medical Center and JCAHO standards, to ensure consistency, accuracy, and patient and employee safety.
  • Initiates performance improvement measures to improve quality, existing technical methods, service and patient and employee satisfaction.
  • Monitors and ensures department compliance with all UCSF Medical Center process and employment requirements.
  • Participates in all performance improvement activities, to support Medical Center initiatives and as directed by the Director and Medical Center Administration.
  • Works closely with Director of Epilepsy Services and Medical Director of Neurodiagnostic Services to ensure the high quality clinical services are consistently delivered, and supports all physicians.

  • Responsible for the recruitment and hiring of all qualified technical and administrative
  • staff to ensure quality service and compliance with the department and Medical Center's goals and mission.
  • Provides staff with feedback regularly to support continued growth and development.
  • Performs annual written performance evaluations to provide employees with feedback and suggestions for future development opportunities.
  • Develops department operating and capital budgets; provides fiscal oversight through the use of FTE, variance, and revenue reports to ensure that revenue and expenses remain within budget target
  • Demonstrates and encourages all Living PRIDE values, promotes customer service, patient satisfaction and employee engagement.
  • Attends Medical Center Management meetings; adheres to all Medical Center policies and procedures and regulatory agency standards.
  • Responsible for communication of all Medical Center initiative and plans to all staff. Responsible for department employee engagement and professional growth.

  • Collaboratively works with the Director, and adult and pediatric epilepsy Medical Directors to develop and achieve short and long term planning goals.
  • Works collaboratively with all neurology physicians to support programmatic growth. Actively manages and promotes strategic growth and development opportunities for Neurodiagnostic services.
  • Responsible for marketing and outreach for all outpatient services and helps in the marketing and outreach for inpatient video/EEG services.
  • Responsible for development of new collaboration opportunities.
  • In conjunction with the Director, reviews and evaluates department clinical functions and develops short and long range plans to achieve organizational and department goals.
  • Participates in and provides programs to the community and other hospital departments as appropriate.
  • Responsible for the development and then maintenance of UCSF as a placement for EEG students.
  • Seeks appropriate opportunities for ongoing clinical and management education. Maintains an awareness of recent developments in the field of Neurodiagnostic services.

Required:

  • Graduate from a 2-year Neurodiagnostic technology training program, accredited by the Committee on Allied Health Education and Accreditation or equivalent combination of education and experience.
  • A minimum of 7 years' experience in EEG, Evoked Potentials, Long Term Epilepsy Monitoring, Brain Mapping and Epilepsy Surgery.
  • A minimum of 5 years supervisory experience in a health care setting
  • ABRET Certification on one or more modalities
  • Clinical practice knowledge of relevant neurodiagnostic function(s) and applied background. Knowledge of terms, concepts, and protocols.
  • Knowledge of medical center, HR and UC policies and processes. Knowledge of relevant external regulations. Ability to apply policy knowledge to suggest improvements to compliance risks.
  • Leadership skills in employee supervision and HR administration to effectively lead and motivate others. Conflict resolution skills to resolve personnel issues and counsel assigned staff to develop cooperative working relationships.
  • Demonstrated ability to effectively manage multiple priorities in a complex, challenging environment.
  • Ability to organize departmental operations in an efficient and effective manner through improving neurodiagnostic processes, procedures, and systems.

  • Solid understanding of internal neurodiagnostic information technology applications. Knowledge of available information technology software in the neurodiagnostic field with recent experience with computer networks/servers and databases

  • This position requires the flexibility to orient and work in all UCSF Medical Center locations
  • Prior experience in the areas of strategic planning, financial planning, financial management, program development and implementation
  • Demonstrated knowledge of pc-based computer applications including, but not limited to Windows and Microsoft Office
  • Ability to work collaboratively with physicians, clinical professionals and staff
  • Demonstrated ability to work in a team-oriented environment requiring strong verbal and written communication skills and strong interpersonal skills.
