Job Function Summary: Involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services include activities in finance and human resources and may also include IT, facilities, or student services. General management activities include long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff. Generic Scope Spends the majority of time (50% or more) achieving organizational objectives through the coordinated achievements of subordinate staff. Establishes departmental goals and objectives, functions with autonomy. Manages the accountability and stewardship of human, financial, and often physical resources in compliance with departmental and organizational goals and objectives. Ensures subordinate supervisors and professionals adhere to defined internal controls. Manages systems and procedures to protect departmental assets. Custom Scope The PEM Division Manager is responsible for managing the administrative operations, providing direct high-level executive, analytical, operations, and project management leadership to the Pediatric Emergency Medicine (PEM) Division. The incumbent in this position uses advanced management and leadership skills to resolve complex operational issues. This position achieves organizational objectives through the coordinated achievements of direct reports in managing the administrative operations of the PEM Division, the operations of which are significantly complex and/or broad in scope. This position reports to the Chief Administrative Officer and indirectly to the PEM Division Chief. The incumbent leads short- and long-range planning for administrative services operations, driving process improvements and operational efficiencies across the PEM Division. The incumbent leads and provides leadership on highly complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. The individual exercises strong judgment in selecting methods, techniques and evaluation criteria for obtaining results. The PEM Division Manager provides leadership and oversight for special projects and strategic initiatives that are sensitive, complex, and high priority in nature. Exercising a high degree of independence, judgment, and initiative, the incumbent directs the planning, execution, and implementation of projects with significant operational and organizational impact. The position manages highly confidential and critical matters on behalf of the Chief, DEM, and PEM leadership teams, serving as a trusted advisor on issues of strategic importance and ensuring the effective coordination, communication, and resolution of complex administrative and operational challenges. This position requires a high degree of independent judgment, decision-making, initiative, and strategic thinking in managing complex administrative and operational functions. The incumbent is expected to effectively prioritize competing demands, allocate resources, and lead multiple initiatives simultaneously in a dynamic and fast-paced environment. Success in this role requires exceptional organizational, analytical, and interpersonal skills, as well as the ability to collaborate effectively with diverse stakeholders across all levels of the organization. The incumbent exercises substantial autonomy in identifying emerging issues, assessing risks, anticipating operational and organizational needs, and implementing proactive solutions. Drawing upon advanced knowledge and expertise, the position develops strategies to address complex challenges, adapts priorities in response to changing circumstances, and ensures the successful execution of divisional goals and objectives. The role requires a high level of professionalism, discretion, diplomacy, and accountability in managing sensitive matters and representing the division in interactions with leadership, faculty, staff, and external partners.
