DEPARTMENT OVERVIEW

External Relations and Communications is focused on increasing public understanding and support for the university and communicating UC's value and impact on the lives of people in our local communities, California and the nation. We help establish and strengthen relationships with outside constituencies - such as alumni and philanthropists, business and industry - and, in coordination with campuses, facilitating their support for the university. We also conduct policy analysis for the university.

POSITION SUMMARY

This is a TEMPORARY position within our Temporary Office of the President Staffing (TOPS) program. This position supports the ER&C division through a combination of administrative, financial, and operational responsibilities. Key duties include overseeing daily office coordination, handling office supply and shipping needs, assisting with procurement and requisition processes in Oracle, and managing travel, entertainment, and event reimbursement activities through Concur. The role also includes coordinating room reservations using EMS, registering visitors through Symmetry, and ensuring adherence to UC financial and travel policies. Ideal candidates have experience in administrative support, knowledge of systems such as Oracle, Concur, EMS, and ServiceNow, strong organizational and communication abilities, keen attention to detail, and the capacity to handle confidential information while balancing multiple priorities.

This is a hybrid, on-site position based in Oakland, CA. Please note this position is a limited temporary role.

KEY RESPONSIBILITIES and REQUIRED QUALIFICATIONS

* Assist with routine office operations and departmental coordination.

* Manage and order office supplies as needed.

* Support UPS account usage and shipping coordination.

* Assist with event reimbursement Travel and Entertainment and submissions.

* Ability to manage multiple tasks and deadlines effectively.

* Experience providing administrative support in a professional office environment.

* Experience with Oracle, Concur, EMS, ServiceNow, and related administrative systems.

PREFERRED QUALIFICATIONS

* Strong organizational skills and attention to detail.

* Familiarity with UC policies

* Ensure compliance with applicable UC and departmental financial policies and procedures.

* Strong written and verbal communication skills.

* Ability to maintain confidentiality and exercise sound judgment.

* Knowledge of UC policies related to travel, entertainment, procurement, and reimbursements

* Experience processing purchase requisitions, reimbursements, and financial documentation

EDUCATION

Bachelor's degree in related area and / or equivalent experience / training
