50% Secretary IV The Office of Academic & Student Affairs is looking for an individual to provide 50%-time temporary administrative support. In this role, individual will serve as the first point of contact for the Office of Academic & Student Affairs supporting the Assistant Dean of Students and the Office of Academic & Student Affairs by performing complex administrative and financial functions requiring frequent interaction with students, faculty, staff, deans, directors, department heads, administrators, and public and private officials in a dynamic, fast-paced, shared work environment. Responsibilities include planning and coordinating special events and meetings; coordinating academic support programs, student projects, and testing services, including accommodations for students with disabilities; supporting student organizations through budget monitoring, account reconciliation, and tax filing; coordinating scholarship and award processes; and maintaining records, databases, reports, and presentations to support departmental operations and decision-making. MINIMUM ELIGIBILITY REQUIREMENTS: 1. Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to five years of full-time employment and includes the use of word processing. The ideal candidate will have:
- Experience working and collaborating effectively with diverse stakeholders in a higher education, healthcare, or other complex organizational environment.
- Experience supporting students, clients, customers, or other constituent groups through complex administrative processes.
- Experience planning and coordinating large-scale events including venue selection, contract review, logistics, and purchasing of supplies and equipment.
- Experience creating and maintain reports, databases, and other administrative records.
- Experience monitoring and reconciling budgets.
- Expertise with calendaring, word processing, and spreadsheeting applications (i.e. Microsoft Office Suite or Google G Suite).
- Demonstrated success coordinating multiple projects, events, or priorities simultaneously in a fast-paced environment with multiple distractions.
- Demonstrated exceptional organizational skills, attention to detail, and ability to successfully manage deadlines.
- Demonstrated experience in providing superior customer service.
- Experience reconciling financial accounts.
- Demonstrated strong written, verbal, and interpersonal communication skills.
- Demonstrated adaptability and strong critical thinking and problem-solving skills.
- Knowledge of and ability to maintain confidentiality and compliance with applicable privacy regulations, including FERPA and related confidentiality requirements.
Temporary role - limited to a max of 3 months at 50%-time (20 hours/week). Hours of work: 8:00am - 5:00pm, Tuesday and Wednesday; 8:00am - 12:00pm, Thursday. |
