This part-time role answers and directs incoming calls while providing general administrative and clerical support aligned with the ServiceSource mission. Responsibilities include record tracking and review, document processing and system uploads, maintaining visitor status for the Ames Street location, coordinating vendor access, email correspondence, and managing incoming and outgoing mail.

Primary Duties

  • Operate the switchboard by receiving incoming calls, routing them to appropriate personnel, and providing general organizational information as needed.
  • Receive and monitor visitors by welcoming on-site guests, determining the nature of their business, notifying appropriate staff, and discouraging unauthorized entry.
  • Process, receive, sort, and route incoming mail and faxes; forward communications to appropriate personnel; maintain and replenish office and kitchen supplies, including placing and tracking supply orders.
  • Provide administrative support to staff, including updating Excel spreadsheets and Word documents with attention to detail, and performing clerical tasks such as sorting, copying, and proofreading.
  • Support the planning and execution of onsite and offsite company events by assisting with logistics, coordination, and preparation activities.

Additional Responsibilities

  • Maintain continuous front desk coverage or ensure appropriate backup, adhering to established receptionist protocols and maintaining strict confidentiality.
  • Secure and transport guest registry and staff sign-in logs to the designated meeting location in the event of an emergency.
  • Provide administrative support using the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Organize and maintain filing systems, correspondence, and records with accuracy and efficiency.
  • Perform other duties as assigned in support of daily office operations

Qualifications: Education, Experience and Certification(s)

  • High school diploma or General Educational Development (GED), required.
  • 1-2 years receptionist experience preferred.
  • Valid NC North Carolina driver license, per state law, and/or access to reliable transportation to perform work-related travel required. Eligible drivers must have a good motor vehicle record (MVR).

Knowledge, Skills and Abilities

  • Must be able to work with people internally and externally at all levels of an organization.
  • Excellent oral/verbal communication skills.
  • Detail-oriented and able to carry out work with the highest levels of accuracy.
