Compensation

Salary Range: $25.43 - $35.38 per hour

The pay range above represents the lowest possible rate for the position and the highest possible rate. Factors that may be used to determine where newly hired employees will be placed in the pay range include the employee specific skills and qualifications, relevant years of experience and comparison to other employees already in this role. Most often, a newly hired employee will be placed below the midpoint of the range.

Responsibilities

Position Overview:
The Regulatory Compliance Assistant provides administrative, clerical, and regulatory support to the Engineering Department. This position assists with maintaining department records, regulatory compliance documentation, accreditation readiness activities, vendor coordination, and departmental systems. The Regulatory Compliance Assistant helps ensure accurate recordkeeping and supports ongoing compliance with DNV, CMS, OSHA, and other regulatory requirements affecting the healthcare physical environment.



Qualifications

Minimum Qualifications:

    High school diploma or equivalent (GED)
  • Valid California Driver's License
  • Maintains a current Motor Vehicle Report (MVR) that meets the requirements for coverage under Community Memorial Healthcare's insurance policy
  • Proficient computer skills

Preferred Qualifications:

  • Associate degree
  • Previous healthcare experience
  • Previous regulatory compliance experience
  • Proficient in Microsoft Office

Essential Functions and Responsibilities:

  1. Assists with printing and preparing monthly project management sheets each month for the department.
  2. Performs monthly fire extinguisher, emergency lighting, and exit sign inspections at various facilities and/or clinic locations.
  3. Assists with creating annual compliance binders for the following year.
  4. Obtains and prints monthly monitoring reports from emergency systems.
  5. Requests monthly 30-day signal reports from Bay Alarm, prints them once received, and files them in Fire Life Safety binders.
  6. Checks the status of projects on project management sheets for completion in the second and third weeks of each month, and updates the team as needed.
  7. Maintains department files, logbooks, manuals, permits, licenses, equipment records, invoices, vendor documentation, and regulatory compliance records.
  8. Assists with organizing, scanning, indexing, and electronically filing department documents to ensure regulatory compliance and record retention requirements are met.
  9. Coordinates meetings, training sessions, inspections, audits, and vendor appointments for Engineering personnel.
  10. Assists with maintaining accreditation and regulatory readiness documentation, including evidence binders, corrective action plans, and compliance records.
  11. Supports preparation for DNV surveys, regulatory inspections, and internal audits by gathering and organizing requested documentation.
  12. Assists with maintaining the Evidence-to-Close-Out DNV Findings binder and tracks completion of assigned action items.
  13. Performs data entry and updates information within department software systems, databases, and spreadsheets.
  14. Generates routine reports, dashboards, and compliance tracking logs for departmental leadership.
  15. Assists with monitoring preventive maintenance documentation and follows up with vendors and contractors regarding missing reports, certifications, and service records.
  16. Assists with monthly compliance audits, record reviews, and documentation reconciliation activities.
  17. Maintains inventory of department office supplies, forms, and administrative materials.
  18. Provides customer service support to department staff, vendors, contractors, and internal customers.
  19. Performs other duties as assigned.
