The Human Resources Directorate is seeking an HR Coordinator to join its Talent Acquisition team. In this dynamic role, you will provide critical administrative and operational support in a fast-paced, high-volume recruitment environment. As a key member of the hiring process, you will help deliver an exceptional candidate and hiring manager experience while supporting the Laboratory's efforts to attract and hire top talent.
This position serves as a primary point of contact for candidates, hiring managers, department administrators, employees, and Human Resources staff. The HR Coordinator plays an integral role in ensuring recruitment activities are executed efficiently, professionally, and in compliance with Laboratory policies and procedures. Success in this role requires strong organizational skills, attention to detail, excellent customer service, and the ability to effectively manage multiple priorities in a collaborative environment.

Key Responsibilities

  • Coordinating recruitment activities from requisition approval through onboarding to ensure a seamless and positive candidate experience

  • Assisting recruiters and hiring managers with candidate screening, dispositioning, and applicant communications throughout the hiring process

  • Facilitating pre-employment activities, including education verification, reference checks, and pre-placement physical scheduling

  • Managing complex, high-volume calendars and coordinating interviews involving candidates, hiring managers, search committees, and key stakeholders

  • Preparing employment-related documentation, including offer letters, relocation materials, and other onboarding resources

  • Serving as a primary point of contact for candidates and new hires, providing guidance and support throughout the recruitment and onboarding process

  • Supporting workforce outreach initiatives by coordinating recruiting events, career fairs, internships, and talent pipeline activities

  • Maintaining and monitoring applicant tracking system data to ensure accuracy, compliance, and timely movement of candidates through the recruitment lifecycle

  • Partnering with Talent Acquisition staff to support affirmative action, equal employment opportunity, and other regulatory compliance requirements

  • Generating, tracking, and maintaining recruitment metrics, reports, and workflow documentation to support operational effectiveness and continuous improvement

  • Handling sensitive and confidential information with discretion and professionalism while ensuring compliance with Laboratory policies and procedures

  • Contributing to special projects, process improvements, and strategic Talent Acquisition initiatives that enhance recruitment operations and the candidate experience

Required Knowledge, Skills, and Abilities:

  • Bachelor's degree in Human Resources or directly related field, or equivalent experience based on 2:1 (experience: college) years.

  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook, with knowledge of, or ability to learn, SharePoint

  • Experience with PeopleSoft HR, or similar Human Resource Management systems or other data base systems

  • Strong oral and written communication skills

  • Demonstrated customer service orientation

  • Detailed oriented and well organized

  • Demonstrated ability to work in a fast-paced environment with competing priorities

  • Demonstrated ability to work in a team environment

  • Knowledge of Microsoft Office, including Outlook, Excel, Word, PowerPoint and Sharepoint

Preferred Knowledge, Skills, and Abilities:

  • Proven experience as an HR assistant, staff assistant or relevant human resources/administrative position

  • Experience with applicant tracking database systems.

  • Knowledge of OFCCP compliance rules.

Brookhaven Laboratory is committed to providing fair, equitable, and competitive compensation. The full salary range for this position is $70,000-$80,000 / year. Salary offers will be commensurate with the final candidate's qualification, education, and experience and considered with the internal peer group.
