Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator I for the Office of Summer and Winter Sessions and Pre-College programs. These programs include both credit-bearing and non-credit offerings, as well as residential and commuter experiences designed to prepare high school students for college access, college readiness, and personal development. The position serves as the first of contact for students and their family.
Among the key duties of the position are the following:

  • Works collaboratively with faculty, staff, campus partners, students, and parents to ensure high-quality program delivery with an emphasis on high-volume student/family communication, working in a fast-paced environment during peak summer operations, and an independent problem-solver.
  • Performs duties including planning, coordinating, and responding to inquiries, coordinating the administrative logistics of residential academies, and other programs and events.
  • Assists with synchronizing and coordinating administrative processes including scheduling, registration, documentation, communications, website content, and record-keeping.
  • Assists with the recruitment and hiring of summer seasonal student program workers.
  • Plans for all residential and operational support, such as move-in and move-out and closing program events.
  • Performs professional work that requires knowledge of general program coordination practices and the basic application and use of office concepts, theories, and terminology.
  • Uses various applications for coordinating enrollment logistics, responding to program inquiries, and ensuring a safe, engaging, and inclusive student experience.
  • Contributes to serving the mission of the office and working with staff, vendors, students, parents, and academic partners, promoting a positive team culture.

Minimum Education and Experience
  • Bachelor's Degree and at least two (2) years of experience that demonstrates knowledge and understanding of program and academic planning, customer service, and activity planning in a higher education setting.
Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Excellent communication skills.
  • Ability to multitask and work in a fast-paced environment, ensuring accuracy with figures and attention to detail.
  • Ability to maintain a positive, can-do attitude.
  • Ability to be computer-savvy and a quick learner.

Preferred Qualifications

  • Experience with Rutgers systems and databases, including ANCOR, DICES EResources, as well as experience with Salesforce, Constant Contact, and Qualtrics.
  • Hands on working experience in coordinating programs paired with facilitating events, managing timelines, tracking enrollments, and handling logistics (workshops, orientations, or campus visits).

Equipment Utilized

  • Personal computers, laptops, and iPad.
  • MS Office Suite of software, Qualtrics.
  • MS, CSS, EResources, ANCOR and DICES.

Physical Demands and Work Environment
  • Ability to lift up to 25 pounds and stand for long periods of time when facilitating tabling events, conferences, and attending fairs.
