EHR Informatics Intern

The EHR Informatics Intern will provide critical support for the MyAvatar NX Adoption project within the Washington County Department of Health and Human Services. Under the direction of the Informatics Administrator, the intern will assist in documenting clinical workflows, performing data validation, and supporting the transition from the "Classic" Avatar environment to the new NX platform. This role offers hands-on experience at the intersection of Healthcare, Information Technology, and Project Management.

The intern will have the unique opportunity to collaborate directly with department supervisors and Subject Matter Experts (SMEs), providing a 360-degree view of Behavioral Health workflows within our Health and Human Services operations.

The intern could work up to 40 hours per week for up to 12 weeks, with extension possible based on mutually agreeable schedule and status of project completion. Position can be up to 80-90% remote, but there may be times that the intern will need to report to the department in West Bend, Wisconsin.

Training and Experience (Requirements):
*Current Enrollment: Must be currently enrolled in an accredited Associate's, Bachelor's, or Master's program.
*Preferred Majors: Health Informatics, Information Technology, Healthcare Administration, Social Work, or a related field.
*Background Check: Must pass a standard security background check as required for handling sensitive health information.

Preferred Technology Skills:
*Interest in Behavioral Health or Human Services workflows.
*Familiarity with Microsoft Office 365 (Teams, Words, and Excel). A willingness to learn advanced Excel functions for data auditing is a plus.

Starting pay: $21.00-$25.00/hour

Duties/Responsibilities:
*Workflow Documentation: Assist in interviewing Subject Matter Experts (SMEs) and clinicians to document "As-Is" workflows and map out "To-Be" processes. This includes the development, drafting, and maintenance of technical documentation, Standard Operating Procedures (SOPs), and end-user "Quick Reference Guides" for the MyAvatar NX platform.
*System Testing & QA: Support User Acceptance Testing (UAT) by executing test scripts for new Forms, Widgets, and Reports to ensure they meet clinical and billing requirements.
*Data Analysis Support: Utilize tools (such as Excel or basic SQL) to assist in auditing data integrity, including identifying missing diagnosis codes or insurance eligibility gaps.
*Technical Writing: Assist in the creation of Standard Operating Procedures (SOPs), training manuals, and "Quick Reference Guides" for end-users.
*Meeting Support: Attend project meetings with DHHS leadership; capture meeting minutes, track action items, and update project timelines.
*Tier 1 Support: Assist in monitoring the IT Help Desk ticket queue (Atera) specifically for EHR-related requests and routing them to the appropriate technical staff.

Essential Knowledge and Abilities:
*Analytical Mindset: Ability to break down complex clinical processes into clear, logical steps.
*Communication: Strong verbal and written communication skills for interacting with clinical, billing, and administrative staff. Must possess strong writing proficiency with the ability to translate complex system processes into clear, step-by-step instructions for non-technical users.
*Detail Oriented: High level of accuracy in data entry and documentation to support compliance standards (HIPAA).
*Curiosity: A strong desire to learn about Electronic Health Records (EHR), Revenue Cycle Management, and Public Health Informatics.

Work Direction Received:
*Reports directly to the Chief Health & Human Services Officer
*This position works in a matrix environment and will have dotted line reporting to the Informatics Administrator for oversight of day-to-day work output and project completion.

Supervision Exercised: None.

Decision Making: Decisions are made independently with oversight from the Informatics Administrator concerning analyzing and resolving software or hardware problems.

Interaction: Interaction with other County employees, vendors, and software and hardware support engineers and occasionally with the public.
