Employment Duration: 3 months

Under the supervision of the Nursing Supervisor and guided by Ambulatory Services policies and procedures, the Hospital Assistant III assists in the delivery of care to patients in the Department of Otolaryngology, Head & Neck Surgery within ambulatory group practices.

This role supports patient care through a variety of personal care and clinical procedures and collaborates with clinical nursing staff to ensure positive care outcomes. Responsibilities include performing assigned patient care and laboratory procedures in support of specialty services.

The position also supports outpatient clinical operations across UCSF Health sites, ensuring excellent customer service and facilitating accurate information flow between medical staff, hospital staff, and departments to maximize efficiency.

Clinical Duties

  • Perform routine clinical functions and document in patient charts, including vital signs, height, weight, pain screening, and chief complaints
  • Coordinate and document interpreter services for patient visits
  • Assist nurses, providers, and patients with exam and procedure preparation
  • Assist with or perform clinical procedures and diagnostic testing as required for the specialty
  • Disinfect and process instruments; prepare items for sterile processing
  • Assist with in-clinic procedures and diagnostic testing (e.g., endoscopy, imaging, injections)
  • Act as a chaperone for providers as needed
  • Transport patients and ensure patient safety
  • Monitor patient flow and prepare exam rooms based on visit needs
  • Obtain specimens and perform simple laboratory procedures in accordance with policies
  • Maintain required logs (e.g., temperature, crash cart, disaster supplies)
  • Facilitate referrals and obtain insurance authorizations for medications
  • Assist with patient communications and documentation
  • Ensure compliance with infection control, safety, and regulatory standards
  • Provide patient and family education and document in the electronic health record

Communication

  • Maintain professional and courteous communication in accordance with Medical Center standards
  • Communicate patient delays and service issues to providers and staff
  • Inform patients of delays and assist in managing clinic flow
  • Share critical information and observations with the care team in a timely manner
  • Identify and communicate issues to nursing staff or supervisors
  • Assist patients with concerns using conflict management skills
  • Coordinate with labs, pharmacies, and external providers while adhering to HIPAA guidelines
  • Utilize the electronic health record (APeX) for documentation, order entry, scheduling, and communication within scope

Operations and Maintenance

  • Maintain clean, organized, and well-stocked clinical and exam areas
  • Order and manage supplies and maintain lab equipment
  • Review and print lab results for providers as requested
  • Obtain insurance authorizations for procedures and services
  • Schedule complex procedures and coordinate patient services
  • Ensure clinic coverage and coordinate work schedules with team members
  • Adhere to infection control and equipment sterilization procedures
  • Participate in quality improvement and customer service initiatives

Required Qualifications

  • Certification from an approved Medical Assistant program or equivalent combination of training and experience
  • One year of experience as a Medical Assistant or Hospital Assistant in a medical practice
  • Experience working in an ambulatory setting
  • Current American Heart Association CPR Certification
  • Knowledge and abilities required to perform assigned duties
  • Strong customer service and interpersonal skills
  • Experience using and documenting in an electronic medical record system

Preferred Qualifications

  • Experience using APeX or EPIC electronic health record systems
  • Bilingual or multilingual skills (e.g., Spanish, Cantonese, Russian)
  • Experience with insurance authorizations and coordination with retail pharmacies

The final salary and offer components are subject to additional approvals based on UC policy.


Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
