Responsibilities

The Wealth Specialty Asset Support Analyst provides critical operational and administrative support for the management of unique and hard-to-value assets held in fiduciary accounts. These assets include real estate, closely held business interests, mineral, oil and gas interests, loans and notes, life insurance, and tangible personal property.

This role supports the full lifecycle of unique assets from pre acceptance and onboarding through ongoing administration, monitoring, valuation, annual review and disposition, while ensuring adherence to fiduciary standards, internal policies, and regulatory requirements. The Analyst works closely with Specialty Asset Managers, Wealth Advisors, Operations, Risk, Compliance, vendors, and clients to ensure unique assets are administered in a controlled, consistent, and well documented manner.

This position plays an essential role in mitigating risk while enabling efficient unique asset administration and delivering high quality client service.

Key Accountabilities

Unique Asset Administration & Support

    Support the Wealth Specialty Assets team in the onboarding and day to day administration of unique assets in accordance with ONB policies and procedures.
  • Coordinate ownership changes, re registrations, maintenance events, and asset documentation updates.
  • Track asset specific administrative requirements, conditions of acceptance, and ongoing management obligations.

Asset Monitoring, Valuations & Reviews

  • Assist with the collection, tracking, and review of asset valuations, inspections, and third party reports.
  • Support annual unique asset review processes, including documentation collection and issue tracking.
  • Process receipts and monitor asset income streams such as rent, royalties, loan payments, and other receivables; assist with follow up on past due items.
  • Coordinate real estate tax payments, insurance renewals, and claim processing.
  • Maintain amortization schedules, track and administer promissory notes held in fiduciary accounts.

Compliance, Fiduciary Governance & Documentation

  • Maintain accurate, complete, and timely documentation in trust accounting and workflow systems.
  • Ensure administration activities comply with fiduciary standards, internal procedures, and regulatory expectations.
  • Assist with internal audits, reviews, and reporting related to unique assets.
  • Support administrative reviews of unique assets and contribute to continuous improvement of procedures and controls.

Stakeholder Coordination & Client Service

  • Serve as an operational point of contact for internal partners regarding unique asset administration.
  • Coordinate with vendors, property managers, insurers, appraisers, and other third parties.
  • Schedule and prepare materials for meetings involving clients, advisors, and unique asset stakeholders.
  • Communicate clearly and professionally to support complex, high touch client relationships.

Process Improvement & Projects

  • Participate in initiatives to improve unique asset workflows, tracking, reporting, and scalability.
  • Assist with system enhancements related to unique asset management platforms.
  • Identify opportunities to improve efficiency, risk mitigation, and service quality.

Qualifications and Education Requirements

Required:

  • Bachelor's degree or equivalent experience required; degree in Finance, Business, Accounting, Real Estate, or related field preferred.
  • Minimum 2 years of experience in trust administration, financial services operations, unique or unique asset administration, or related fields.
  • Strong attention to detail with the ability to manage complex documentation and deadlines.
  • Knowledge of fiduciary concepts, trust administration practices, and operational workflows.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to learn specialized trust systems.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a team based, highly regulated environment.

Preferred:

  • Experience supporting real estate, illiquid, or non traditional assets.
  • Familiarity with asset valuation concepts, insurance administration, or loan servicing.
  • Experience working with trust accounting or property management systems.
  • Interest in or progress toward professional certification (e.g., CTFA).

  • Accurate and timely processing of unique asset transactions and income postings.
  • Effective support of unique asset onboarding, monitoring, and annual review activities.
  • Compliance with fiduciary standards and documentation requirements.
  • Responsiveness and quality of internal and external stakeholder support.
  • Contribution to improved workflows, controls, and operational efficiency.
