Operations Specialist

OTC Industrial Technologies is looking for an Operations Specialist to join our team in Houston, TX! This position provide sales and service support for the rental division with a strong focus on providing superior customer service; ensuring customers' needs and expectations are met and exceeded with timely processing and/or communication of all inquiries, requests, orders, complaints, and returns.

This role emphasizes heavy email and phone communications. From coordinating inquiries to resolving complex situations, you'll ensure our operations run smoothly and efficiently. With your problem-solving skills, attention to detail, and positive attitude, you'll serve as the backbone of our team, ensuring any issues are met with solutions promptly.

What You'll Do:

• Local point person for system related issues, processes, and software implementation and upgrades

• Review, correct, and process vendor and customer orders, invoices, and credits as necessary

• Set up new customer and vendor accounts as necessary

• Review, follow up, and/or correct vendor invoice discrepancies or customer disputes as needed

• Create rental quotes and contracts as needed

• Enter and/or manage rental invoices as needed for all rental warehouses

• Address and manage any missing or damaged rental inventory as necessary

• Review, follow up, and invoice all rental invoices at month end

• Manage inventory to ensure 98% inventory accuracy

• Lead and participate in annual physical inventory audits

• Manage and distribute incoming mail daily and process customer payments as necessary

• Manage and follow up on internal emails and/or ticketing system

• Track and manage accounts receivable to ensure accounts stay current
• Support on call requirements for rental customers

• Additional responsibilities as assigned by management

What You'll Need:

• Degree or equivalent related experience; minimum of 2 years' experience in operations or a related position

• Proficiency in MS Office
• Ability to support on call requirements

• Excellent customer service skills

• Excellent verbal & written communication skills

• Demonstrate effective problem-solving capabilities and root cause analysis

• Must have a positive, "can-do" attitude

• Must be able to work independently with minimal supervision

• Dependable and highly motivated

• Excellent organizational skills and attention to detail
