This is a high-impact leadership role focused on improving how service work flows from intake to execution, billing, and closeout. You won't just manage operations, you'll build scalable processes, strengthen WIP discipline, and drive financial performance across the department. Position Overview: The Service Operations Manager leads the operational infrastructure of the Service Department, with a strong focus on workflow optimization, WIP management, billing accuracy, and team performance. Key Responsibilities: Operational Leadership & Process Improvement
- Lead and improve day-to-day service department operations and workflows
- Identify inefficiencies, bottlenecks, and communication gaps
- Develop and implement processes that improve execution, accountability, and visibility
- Drive consistency from work order creation through scheduling, execution, and closeout
- Train teams on workflows, tools, and operational expectations
WIP & Billing Oversight
- Oversee Work in Progress (WIP) to ensure jobs are progressing, documented, and billed accurately
- Monitor aging work orders, billing delays, and closeout issues
- Partner with operations, field teams, and accounting to improve billing timelines and cash flow
- Establish accountability for documentation, labor capture, and job costing
Team Leadership
- Provide leadership to the Service Coordinator function through its supervisor
- Optimize team structure, workload distribution, and performance
- Support hiring, training, development, and performance management
- Mentor team members to build consistency and accountability
Financial Reporting & Systems
- Partner with Finance to develop and maintain service-related reporting and performance metrics
- Use data to identify trends, improve forecasting, and drive decision-making
- Improve system accuracy and reporting reliability across service platforms and ERP systems
- Collaborate with internal teams and vendors to optimize system functionality
Qualifications:
- 5+ years of operations leadership experience in service, construction, HVAC, plumbing, or similar environment
- Strong understanding of workflow management, process improvement, and WIP discipline
- Experience with financial reporting, billing processes, and performance metrics
- BuildOps or similar platform experience is desired
- Bachelor's degree in Business, Finance, Operations, or related field preferred
- Strong systems aptitude (ERP, service platforms, reporting tools)
- Proven ability to lead change, improve structure, and drive results across teams
