Job Description
IEM is looking for a Full Time- Administrative Assistant to provide comprehensive administrative and office support in a professional, corporate, and customerfacing environment. This role supports daytoday office operations through coordination of communications, document management, scheduling, recordkeeping, and general administrative functions. The ideal candidate is organized, detailoriented, proactive, and comfortable working independently while supporting internal teams and external stakeholders.
Primary Location:
- Live within the state of Florida
- Preference will be given to candidates located in the Miami-Fort Lauderdale metro area.
- Work will take place in personal office location and may potentially require limited in-office work on an occasional basis in the future.
Essential Functions:
- Coordinate and perform all aspects of office administration, providing comprehensive administrative support in a professional corporate and customer-facing environment.
- Serve as a primary point of contact for general office communications, including telephone support and the creation of routine correspondence.
- Prepare, type, file, scan, copy, and distribute documents, correspondence, and materials as required.
- Manage scheduling, calendar coordination, and meeting logistics, including preparation of materials and support for community meetings.
- Maintain and update administrative trackers, databases, SharePoint files, and other recordkeeping systems with accuracy and attention to detail.
- Create and format flyers, surveys, and other program or outreach materials using standard office and computer applications.
- Coordinate outgoing and incoming mail, including USPS, UPS, and FedEx shipments.
- Pull and organize documentation required to support contract requirements and compliance.
- Perform data entry to support invoicing processes and assist with the review of reports for accuracy and completeness.
- Demonstrate strong organizational and timemanagement skills by effectively prioritizing tasks, multitasking, and working independently with minimal supervision.
- Exercise initiative as a selfstarter, proactively identifying administrative needs and supporting office operations as required.
- Maintain a high level of professionalism, discretion, and clear verbal and written communication at all times.
- Perform additional administrative and office support duties as assigned.
Minimum Qualifications:
- Degree: High school diploma or equivalent
- Experience: Minimum of two (2) years of experience in an administrative, office support, or office management role.
- Proficiency in Microsoft Office applications, with strong working knowledge of Excel.
- Demonstrated strong organizational skills and attention to detail.
- Highly motivated, dependable selfstarter with a positive and professional work ethic.
- Ability to work effectively in a fastpaced environment and manage multiple priorities.
- Strong written and verbal communication skills.
- High level of comfort and proficiency using computers and standard office technology.
Preferred Qualifications:
- Knowledge of federally funded grant programs such as CDBG/CDBG-DR and FEMA HMGP.
- Knowledge of various database and program management tools such as SmartSheet, Power BI, SharePoint, and other Microsoft Office Suite products.
