Retirement Assistant


Compensation: $18.95/hour- $28.43/hour


Department: HR - Retirement Plan Services (RPS)


Position Type: Full-time


Location: Milwaukee County Courthouse - 901 N. 9th St., Room 210C, Milwaukee, WI 53233



Job Summary: Provides all aspects of clerical support to RPS including, but not limited to, customer service support, data entry, copying, filing, data research, basic retirement calculations, and execution of mass mailings. Maintains the Retirement Plan Services' file room and recording keeping process. Answers incoming inquiries (calls, email, fax, mail, in person) and redirects them, if needed.



Job Responsibilities:



  • Answer incoming inquiries (phone, email, fax, mail, in person). Route escalated inquiries to appropriate staff. Respond to inquiries by generating forms and researching/updating data as needed.
  • Process retiree transactions related to direct deposit, status changes, address changes, withholding changes into the V3 system for ERS and OBRA members. Review and process employee and retiree information from lists and forms. General data entry.
  • Perform pension eligibility checks using the pension information system. This includes calculating retirement credits, highest years of salary, military service, city/State credit, vesting and work history.
  • Perform basic pension benefit estimates and escalate complex ones.
  • Assist with pension system workflow completion, benefit calculations, and responding to employee inquiries. Assist with mass mailings and preparation for Pension Board Meetings and committee meetings. Monitor office stock/status of office supplies and equipment.
  • Scan documents into the pension information system and file originals. Assemble retirement session packets, preretirement session materials, retirement packets, retrieve files as requested and coordinate offsite file storage with vendor.



Minimum Qualifications



  • Education: High School Diploma or GED Equivalent.
  • Experience: Three years of clerical experience in an office environment (entering data into a computer, filing records, copying, faxing, and answering telephone calls).



Knowledge, Skills & Abilities:



  • Knowledge of basic computer programs (Microsoft Word, Excel and Outlook)
  • Customer Service ---Support (Internal and external)
  • Demonstrate a high degree of professionalism and maintain confidentiality
  • Excellent interpersonal and communication skills, both oral and written
  • Work independently and follow instructions
  • Demonstrate good judgment in a variety of situations
  • Establish and maintain cooperative working relationships with others
  • Time Management; organize, prioritize, and coordinate multiple priorities and work activities
  • Prepare clear, concise, and accurate reports and records
  • Organize information and manage confidential files



Physical Requirements:



  • Primarily sedentary physical work
  • Physical requirements include the ability to lift/carry up to 20 pounds occasionally
  • Carrying, walking and standing
  • Frequent hand/eye coordination to operate computer terminal
  • Frequent speech communication and hearing to maintain communication with employees and citizens



Recruitment for the position is generally at the beginning to the middle of the pay range.
