Job Summary

The Facilities Coordinator (Clerk IV) for the John W. Olver Design Building is responsible for the day-to-day operational coordination, facilities oversight, and instructional infrastructure support for a complex, high-use academic facility which houses three departments: Architecture, Building and Construction Technology, and Landscape Architecture and Regional Planning.

This position serves as the primary liaison between building occupants and Facilities and Campus Services, Environmental Health and Safety, and IT to ensure safe, functional, and technologically equipped learning and work environments. This role oversees and coordinates maintenance of specialized equipment infrastructure, digital labs, and fabrication and print resources. The Facilities Coordinator ensures that classrooms, studios, labs, and collaborative spaces are fully operational and aligned with instructional, research, and public engagement needs.

Essential Functions

Facilities Operations and Maintenance Coordination:

Serves as the primary building-level contact for facilities-related issues.

Coordinates repair and maintenance requests with campus Facilities and Campus Services.

Monitors building status and escalate issues as needed.

Conducts regular walkthroughs to proactively identify maintenance, safety, and space concerns.

Coordinates vendor access and oversee contracted services as appropriate.

Supports capital improvement and renovation planning in collaboration with department and College leadership and campus units.

Provides data and reporting on equipment utilization, service calls, and facility performance.

Works collaboratively with staff, faculty, and students to ensure facility needs are met equitably and efficiently.

Instructional and Technology Infrastructure Support:

Provides or coordinates IT support and guidance for faculty, staff, and students using Design Building instructional and production spaces.

Maintains, coordinates, and communicates maintenance of computer labs, digital plotters/printers, fabrication technologies, and specialized instructional equipment.

Serves as a liaison to IT for hardware refresh cycles, classroom technology upgrades, and network infrastructure needs.

Coordinates with IT and Facilities and Campus Services to confirm functionality of projection systems, sound equipment, lighting, power access, and network connectivity.

Maintains equipment inventory and lifecycle replacement planning.

Coordinates installation, calibration, and servicing of digital production tools and lab technologies.

Lab and Studio Space Coordination:

Oversees operational readiness of studios, labs, and collaborative spaces.

Ensures compliance with safety protocols in coordination with Environmental Health and Safety (EHS).

Develops and documents standard operating procedures for specialized spaces and equipment.

Supports onboarding and training for faculty and staff on space usage protocols.

Event Support:

Supports event planning and external engagement activities that require building coordination.

Serves as the building-level coordinator for studio presentations, exhibitions, lectures, and other academic events requiring space reconfiguration or technical setup.

Ensures instructional and presentation spaces are physically and technologically prepared in advance of scheduled events, including room layout adjustments, furniture coordination, A/V readiness, and access to digital display systems.

Develops and maintains standardized setup protocols and checklists for recurring event types.

General Office Operations:

Coordinates receipt and distribution of incoming mail and packages, including materials delivered through UMass Mail Services and external carriers (e.g., UPS, FedEx), ensuring timely and accurate handling.

Provides backup support for student document scanning and related administrative processes to ensure continuity of service during peak periods or staff absences.

Other Functions

Performs related duties as assigned or required to meet department, executive area/division, and university goals and objectives.

Minimum Qualifications

High school diploma or equivalent and (3) three years of experience in facilities support/management.

Experience coordinating facilities operations in a complex institutional or academic setting.

Experience supporting instructional technology, digital production equipment, or computer labs.

Strong organizational skills and attention to detail with the ability to complete assignments in a timely manner, balancing the demands of concurrent and potentially competing projects.

Strong interpersonal communication skills with the ability to create and maintain harmonious relationships with a diverse population of staff, faculty, students, and off-campus constituents.

Independent initiative and willingness to take on a variety of tasks related to the successful management of a building and its various facilities.

Preferred Qualifications

Experience coordinating facilities operations at UMass Amherst.

Working Conditions

Work is primarily performed in an indoor university environment and involves lifting and transporting materials or equipment and general physical activity, including prolonged standing, walking, or assuming low postures.

Work Schedule and Work Arrangement

Monday - Friday, 8:30AM - 5:00PM.

Salary Information

Pay Grade:USA/MTA Grade 13
