Position Overview:

The Payroll Assistant supports the Payroll Administrator in the accurate and timely processing of bi-weekly payroll. This role plays a critical part in reviewing and validating payroll data, maintaining compliance with tax and wage regulations, and ensuring payroll records are complete and accurate prior to final processing.

This position works on a bi-weekly schedule aligned with payroll processing, either Monday-Wednesday or Monday-Thursday during payroll weeks. The role requires strong attention to detail, confidentiality, and the ability to manage deadlines within a structured payroll cycle. Maximum hours of 32/pay cycle.

Responsibilities:

Pre-Payroll Processing

* Review employee timesheets for accuracy, completeness, and compliance with company policies.

* Verify and validate one-off entries and manual time adjustments.

* Identify discrepancies and coordinate corrections prior to payroll submission.

* Process employee tax withholding forms (federal, state, and local) and ensure proper setup in the payroll system.

* Maintain accurate and up-to-date employee payroll records.

Payroll Processing Support

* Assist in processing payroll during scheduled bi-weekly payroll runs.

* Initiate and review pay statements prior to final release.

* Manually enter expense reimbursements, bonuses, back pay, garnishments, and levies.

* Ensure compliance with applicable wage and hour regulations.

* Support timely and accurate payroll distribution.

Post-Payroll Activities

* Assist with payroll reporting and reconciliation.

* Prepare and/or support payroll-related journal entries.

* Assist with auditing timesheets and payroll records as needed.

* Maintain organized payroll documentation for compliance and record retention.

Qualifications:

* 1-3 years prior experience in payroll, accounting, or administrative support preferred.

* Basic understanding of payroll processes, tax withholdings, and wage regulations.

* Strong attention to detail and high level of accuracy.

* Ability to handle confidential information with discretion.

* Proficiency in Microsoft Excel and payroll systems (e.g., UKG, ADP, Workday).

* Strong organizational and time management skills.

* Ability to meet recurring bi-weekly payroll deadlines.
