Job Description Summary

Position Objective:

Assist Project Managers in the quoting, execution, and closeout of Load Bank projects, as well as providing technical expertise to sales and operations team members as appropriate. These critical PMO team members provide essential information management and resource coordination support to ensure successful project outcomes in a fast-paced environment where numerous project and customer requirements are demanding industry expertise. Additionally, Assistant Project Managers support the PMO by occasionally providing in the field support in the form of site-walks and periodic visits, as well as completing other administrative and support tasks as needed by PMO leadership.

Position Responsibilities:

  • Adhere to all SBR policies and procedures
  • Attend all project and PMO related discussions/meetings as invited with the purpose of documenting the discussions, identifying important elements for further review, and documenting action items
  • Review new RFQs for completeness and urgency, responding to sales with appropriate questions to gather critical missing details and acceptable assumptions
  • Provide assistance to sales and operations personnel for level 1 and 2 service requests as appropriate
  • Review PM generated project solution designs, technician schedules, drawings, etc. for errors, adequate details, and clarification as needed
  • Assist the PMs with logistics RFQs, planning, and execution as needed.
  • Perform all project related data entry and management within the ERP system (quotes, reservations, contracts, sales orders, purchase orders, etc.)
  • Manage and perform timely updates of project information in the PMO project tracker with updates provided by the PM or OSR
  • Submit and refresh profitability analysis requests (Roger Rate) as required by policy.
  • Review and comment on project sales proposals as requested
  • Generate and manage all project related Order Prep Sheets (OPS) and Pickup Notes (PUN).
  • Submit leadership approval requests as required by policy
  • Review HALT reports to gather, review, and report on all project related vendor invoicing.
  • Generate purchase orders as approved by project and PMO management
  • Assist the PMs in developing and managing project budget logs, communicating concerning transactions or trends, and generating change order information as needed
  • Schedule freight deliveries/pick-ups as requested by project management, as well as manage 3rd party drivers and any additional internal or external resources
  • Conduct site walks and periodic site visits as needed and approved
  • Assess, and periodically reassess, solution equipment needs based upon equipment availability in coordination with the Fleet Manager and utilize technical knowledge to provide alternative suggestions to project managers
  • Generate new project folder sets for all level 3 and 4 service requests using PMO standard folder structures
  • Generate project specific form templates and assist the PM as needed in completing and updating them
  • Ensure project documents and key communications are retained in accordance with the PMO document retention policy
  • Assist PMs in documenting and maintaining accuracy of project related deadlines, submittals, and requirements, and deliverables
  • Assist project managers and sales representatives in providing timely and appropriate responses to customer communications by providing reminders of requests and drafting responses as instructed
  • Assist the PM in providing all necessary information and documentation to the OAA, OSR, and Technicians to ensure complete and timely communication of project information.
  • Assist the OAA and Sales in the gathering, documenting, and reporting of required project billing support documentation
  • Assist PMO management with the development, maintenance, and information inputs to PMO monitoring, control, and reporting tools as requested
  • Assist Fleet Management with equipment resource planning and allocation
  • Learn cross training and provide coverage support as requested by the PMO manager
  • Regularly engage and provide constructive input in safety, quality, and continuous improvement conversation and special projects
  • Other duties as assigned by manager

Requirements:

Education & Experience:

  • At least five years of experience in the power distribution/generation field specifically with Load banks, power distribution and power generation equipment
  • Formal Electrical Training
  • PM Certification preferred
  • A technical aptitude--willingness and ability to learn the business application and fleet capabilities
  • Proficient with a computer and Microsoft Office products
  • Excellent English written and verbal communication skills (additional languages is a plus).
  • Ability to travel overnight on an average of 5%, as well as pass periodic drug, alcohol, and security screening is a must
Base Pay Range: $81,951.00 - 112,682.90
