Essential Duties/Responsibilities:
* Distribute subcontracts and required supplementals to subcontractors and suppliers for projects
* Enter both contract information and subcontract details as related to projects into our accounting system
* Monitor contract changes and execute necessary paperwork, update accounting system accordingly
* Create/maintain a subcontractor/supplier database as related to construction
* Contact subcontractors for any outstanding contract and insurance items needed or that do not meet company specification
* Oversee the Grading/Paving Operator Apprenticeship program through BOLI
* Ensure all documents are properly executed
* Ensure all contract related documents are filed according to company policy/procedures and maintain detailed & organized files
* Notice of Right to Lien filing/tracking for projects
* Assist credit department with follow-up on collection and customer accounts
* Ensure that subcontractors/suppliers are in compliance with insurance, bonds, licenses, payrolls
* Communicate with Contract Administration Manager, Project Manager, Construction Manager regarding any outstanding/non-compliant issues with subcontractors/suppliers
* Provide administrative support to construction management and other staff such as downloading bid documents, initial bid set ups, routing of contracts, project set up etc.
* Process timecards and related reports, daily
* Assist with job cost tracking and related reports, daily
* Create/process invoices and reconcile payments
* Use computer word processing, spreadsheets and database software to prepare reports, memos and documents
* Various special assignments as needed
Compensation:
$22.66-$34.11
Minimum Qualifications:
* Bachelor's degree in accounting, Finance, Business or another related field and/or 3 years' experience in contracting, general accounting or related field
* Thorough knowledge of standard administrative functions and equipment
* Ability to follow directions, maintain workflow in areas of responsibility & handle difficult situations
* Ability to problem solve while being flexible in changing from to task to task in order to meet deadlines
* Ability to communicate effectively both written and verbally
* Knowledge and ability in the use of computer software applications (Outlook, Microsoft Word, Excel, PowerPoint, etc.)
* Keen Attention to Detail
* Strong organizational skills and ability to maintain detailed records
* Ability to maintain confidentiality and appropriately handle information of a confidential nature
* Construction/Job Cost experience preferred
* Ability to pass a criminal background check and drug screen
* Valid driver's license with a clean record
