Job Summary
The Degree Plan Evaluator I supports the graduate degree audit process by reviewing and maintaining student academic records and assisting with basic evaluations of degree plans. This position focuses on learning institutional policies, degree requirements, and systems used to track graduate student progress. The Degree Plan Evaluator I provides routine support to students, faculty, and staff and contributes to the accuracy and integrity of graduate records under established guidelines and supervision.

The Degree Plan Evaluator II independently evaluates graduate degree plans to ensure academic requirements are accurately documented and met. This position applies working knowledge of institutional and program-specific requirements and serves as a resource for students, faculty, and staff. The Degree Plan Evaluator II contributes to process improvement, supports training efforts, and assists with resolving moderately complex degree plan issues to support timely graduation.

The Degree Plan Evaluator III independently evaluates graduate degree plans to certify that all academic requirements have been fully documented and met for graduation. This role exercises advanced knowledge of institutional and program-specific policies and plays a key role in maintaining the integrity of the graduate degree audit process. The Degree Plan Evaluator III leads efforts to streamline audit workflows, manages complex records, and collaborates closely with faculty and administrative partners to support graduate student success and timely degree completion.

Minimum Education and Experience
Degree Plan Evaluator I:
Sixty hours of college credit; Two years clerical experience involving record keeping accuracy or the equivalent combination of relevant education and experience totaling at least four years.

Degree Plan Evaluator II:
Completion of two years of college. Two years of experience as a Degree Plan Evaluator I, or any equivalent combination of education and experience. Computer proficiency and knowledge of software programs.

Degree Plan Evaluator III:
Three years of college and two years of related experience; or any equivalent combination of relevant education & experience.
Preferred Education and Experience
Degree Plan Evaluator I: Bachelor's degree or equivalent education and experience. One year of experience in higher education, student services, advising, or records management preferred.

Degree Plan Evaluator II: Bachelor's degree preferred. Two to three years of experience in higher education, preferably in advising, records, degree auditing, or a related academic services role.

Degree Plan Evaluator III: Master's degree preferred. Four years of experience in higher education, specifically in an advising, degree auditing, or academic records role.

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
The Degree Plan Evaluator I reviews graduate student degree plans for completeness and basic compliance with program requirements. Assist with documenting coursework, milestones, and approved substitutions in student records. Maintain accurate academic records in institutional systems. Respond to routine inquiries from students and faculty regarding degree plan status and procedures. Escalate complex or unusual degree plan issues to senior evaluators as appropriate. Support office operations, including record maintenance and audit preparation. Learn and apply graduate education policies, procedures, and deadlines.

The Degree Plan Evaluator II conducts independent evaluations of graduate degree plans for compliance with university and program requirements. Review transfer coursework, substitutions, waivers, and exceptions for accuracy and documentation. Maintain and audit graduate academic records to ensure data integrity. Respond to student and faculty inquiries regarding degree requirements, audits, and graduation eligibility. Identify discrepancies or issues in degree plans and recommend appropriate resolutions. Assist with mentoring or training Degree Plan Evaluator I staff as assigned. Support process improvements and contribute feedback to enhance audit efficiency and accuracy.

The Degree Plan Evaluator III conducts advanced, comprehensive evaluations of graduate degree plans to ensure full compliance with university, college, and program requirements. Review and approve complex combinations of coursework, substitutions, waivers, transfer credits, and exceptions. Certify degree completion and provide final clearance for graduating students. Maintain and audit graduate academic records to ensure accuracy, consistency, and data integrity. Serve as a subject matter expert for degree audit policies and procedures, providing guidance to faculty, staff, and students. Identify opportunities to improve degree audit processes and implement workflow efficiencies. Collaborate across departments to support program changes, policy interpretation, and system updates. Assist with training, mentoring, and supporting Degree Plan Evaluator I and II staff as assigned.
Physical Demands and Working Conditions
Must be able to remain in a stationary position for long periods of time. Occasionally moves about the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery. Frequently communicates with students and faculty and must be able to exchange accurate information.

Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
