Administrative Assistant in Purchasing Penn United Technologies, Inc. is now accepting applications for a full-time Administrative Assistant I to provide daily administrative and customer services support in our busy Purchasing team. In this role, you would help to ensure the smooth operations and efficient workflow within the Purchasing team.
Responsibilities:
- Provide support services and documentation for jobs from request-for-quote and order entry to shipping, invoicing and receivable follow up
- Assist in coordinating the proper flow of work and ensure that all necessary paperwork accompanies each job (order entry, work orders, blueprint, shipping data, etc.)
- Assist with inventory management, control stocking supplies
- Prepare and submit purchase requisitions
- Perform order entry and contract review
- Communicate with vendors and customers via email
- Prepare and submit shipments to shipping department
- Track jobs from order entry to completion, providing related control, follow-up and trouble-shooting
- Ensure the proper handling of outgoing packaging slips, mail, invoices, receipts, packages and other correspondence related to business activities
- Copy and compile data, maintain and file records and reports
- Assist with quality to ensure and document that Quality Management System requirements are met
Qualifications:
- Strong typing and data entry skills
- High degree of accuracy, attention to detail and deadlines
- Proficient with Microsoft Office, Outlook, internet navigation and able to quickly learn and use required computer software
- Able to follow directions, complete tasks
- Committed to team development, and exceptional customer service
- Excellent organization skills, self-motivated, and able to effectively manage multiple tasks
- Strong ability to professionally communicate using both verbal and written skills
Education / Experience
- High school diploma or equivalent is required
- Prior administrative experience in a manufacturing setting is preferred
