Iteris is looking for an Office Manager that serves as a business support partner to senior leadership, providing high-level administrative, operational, and organizational support that enables executive effectiveness and business continuity. This role requires a high degree of independent judgment, discretion, and professionalism while managing complex priorities, confidential matters, and day-to-day office operations. The ideal candidate operates autonomously in a fast-paced environment, anticipates leadership needs, and proactively implements solutions to enhance efficiency, employee experience, and operational excellence. Acting as a central point of coordination across teams, vendors, and stakeholders, this role plays a critical part in supporting company initiatives, fostering a well-functioning workplace, and ensuring seamless executive and office support.



Please note, this role is on-site and will split time between the Irvine and Santa Ana office.



What you will be doing:




  • Provide high level administrative and operational support to senior leaders, exercising independent judgment and discretion in the coordination of complex calendars, meetings, and travel arrangements
  • Independently assess priorities, anticipate leadership needs, and resolve scheduling conflicts and administrative challenges with minimal direction
  • Prepare, review, edit, and finalize correspondence, reports, and presentations for internal and external audiences, ensuring accuracy, consistency, and professionalism
  • Serve as a trusted partner to senior leadership by handling confidential and sensitive information, communications, and inquiries with sound judgment and discretion
  • Independently oversee day to day office operations, evaluating needs and implementing solutions to ensure business continuity and efficiency
  • Act as the primary decision making point of contact for vendors, contractors, and service providers, including selecting providers, coordinating services, resolving issues, and maintaining service standards
  • Oversee office equipment, maintenance coordination, and service contracts, exercising discretion to address issues, authorize services, and escalate matters as appropriate
  • Manage office supply procurement and inventory, making independent purchasing decisions aligned with operational needs and budget considerations
  • Establish priorities and oversee mail, shipping, and package processes, resolving issues independently to ensure timely delivery and business support
  • Lead administrative aspects of new employee onboarding, independently coordinating workstation setup, office access, and supplies to ensure a seamless experience
  • Plan, coordinate, and oversee logistics for meetings, events, and team activities, including catering and vendor coordination, ensuring alignment with business objectives and company culture
  • Support execution of company wide initiatives, events, and internal programs designed to enhance employee engagement and workplace effectiveness
  • Partner cross functionally with HR, IT, Facilities, Finance, and leadership to support organizational priorities and continuous operational improvement
  • Recommend and implement improvements to administrative and office processes to increase efficiency and effectiveness



What you need to be successful in this role:




  • HS Diploma preferred
  • Minimum five (5) years of progressive experience in an executive administrative, senior administrative, or office operations role supporting senior leadership
  • Demonstrated ability to customarily and regularly exercise independent judgment and discretion in managing priorities, confidential information, vendors, and business operations
  • Proven capability to operate autonomously, prioritize competing demands, and make decisions impacting office operations and executive effectiveness
  • Exceptional organizational, planning, multitasking, and time management skills
  • Strong verbal and written communication skills, with the ability to interact professionally at all levels of the organization and with external partners
  • Experience supporting multiple senior leaders concurrently in a dynamic environment
  • High proficiency in Microsoft Office Suite and standard office technologies
  • High degree of integrity, professionalism, reliability, and confidentiality
  • Strong customer service orientation with a proactive, solutions focused mindset
  • Travel between two offices located in Irvine and Santa Ana [10 minutes apart in distance]



Iteris anticipates paying a base salary between $77,000 and $85,000 for this role. Actual pay offered may be below or above these amounts, depending on the individual's job-related knowledge, skills, and experience.
