Summary of Position Functions

The Project Coordinator undertakes and performs a variety of support tasks and assignments to support office and field work performed by one or more Project Managers, Senior Project Managers and/or others as assigned. Acts as a liaison between Field employees and Accounting.

Essential Position Functions

  • Transitions preconstruction projects to implementation projects.
  • Enters all project related data into Viewpoint (by Vista) (budgets, contract amounts, schedule of values, etc).
  • Requests performance and payment bonds, certificates of insurance (and renewals), and day preliminary notices, as applicable and tracks and follows up as required.
  • Assists in developing the project schedule of values and enters into Viewpoint and/or client's billing format.
  • Assists in preparing monthly billings and lien waivers, where required, and projecting project billings.
  • Updates monthly billing information in Viewpoint and billing information into bond log, monthly.
  • Follows-up on accounts receivables and coordinates receipts with the accounting department.
  • Prepares subcontract agreements and purchase agreements and submits to subcontractor and/or vendor for execution.
  • Enters change order information in Viewpoint and prepares formal change order documents to submit to subcontractors and/or vendors and, updates applicable tracking logs.
  • Responds to subcontractor/vendor preliminary notices.
  • Assists with the preparation and tracking of submittals and, maintains submittal/equipment log.
  • Sends tax privilege exempt and related financial documents to general contractors.
  • Prepares project specific badges, badge logs and coordinates updates with the superintendent.
  • Prepares O&M manuals and various close-out documents at completion of project.
  • Manages compliance with federal and CA laws including CA Department of Industrial Relations and Davis Bacon prevailing wage regulations.

Education and Qualifications

To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • High school diploma or general education degree (GED); or two to five years' related experience and/or training; or equivalent combination of education and experience.
  • Two years of project assistance, project coordination, administrative assistant or closely related experience in commercial construction, HVAC, or related field required.

Knowledge, Skills, and Abilities

  • Knowledge of Veregy's services and processes is required which can be obtained through intellect, technical inclination, and dedication to gain such knowledge.
  • Knowledge of the principles of file and records management and the basic principles of bookkeeping and/or accounting
  • Knowledge (Intermediate to advanced) of various operating systems, software products (e.g. MS Office, etc.), is required.
  • Ability to work independently and efficiently manage time / workload.
  • Ability to simultaneously manage multiple projects with overlapping deadlines, deliverables, and other requirements.
  • Ability to establish and maintain effective working relations with co-workers, vendors, customers, and the general public.
  • Ability to effectively respond to common inquiries or complaints from customers and staff.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to prioritize tasks and tactfully negotiate priority with end users.
  • Ability to work under deadline pressure and extra hours if needed.

Certificates, Licenses, Registrations

  • Professional certification such as CFA/CPA a plus.

Travel

  • May require a small amount of travel (<5%).
