Position Summary: The Operations Services Specialist III plays a key role in supporting and enhancing operational efficiency across the Retail Branch Network and Fintech Operations (BaaS). This elevated position is designed for a highly skilled individual who will contribute to process improvement, automation, and technical problem-solving while continuing to support daily operational duties. The Specialist III will serve as a resource to the team, lead special projects, and identify creative solutions to improve workflows and reduce manual effort.

Essential Duties & Responsibilities

Technical & Strategic Support

  • Identify and implement automation opportunities to streamline operational tasks and reduce manual processing.

  • Lead or support special projects focused on improving operational efficiency, compliance, and customer experience.

  • Analyze existing processes and recommend improvements using data-driven insights and industry best practices.

  • Collaborate with cross-functional teams to support new product launches, system enhancements, and procedural updates.

  • Assist with system migrations and conversions, including core, ensuring data integrity and operational readiness.

Operational Excellence

  • Perform advanced quality control reviews of deposit accounts and maintenance requests to ensure accuracy and compliance.

  • Manage complex account documentation and system updates, including CIF maintenance, address changes, and regulatory forms.

  • Monitor and manage dormant/inactive accounts and unclaimed property processes.

  • Create tax addenda and support tax-related documentation processes.

  • Problem Solving & Innovation

Problem Solving & Innovation

  • Serve as a go-to resource for resolving escalated issues and troubleshooting operational challenges.

  • Develop and maintain tools or templates to support team efficiency and consistency.

  • Research and respond to specialized requests such as SSA, Accuity, and Verification of Deposit inquiries.

  • Create and automate Smartsheet or other notifications to retail teams to enhance communication and task tracking

  • Support Fiserv case management for the Operations Services team, ensuring timely resolution and documentation of operational issues.

Cross-Functional Support

  • Act as a backup to the IRA/HSA Specialist, assisting with account setup, maintenance, and compliance tracking.

  • Support IRA/HSA-related customer inquiries and ensure proper documentation and regulatory adherence.

  • Stay informed on IRA/HSA regulations and contribute to process improvements in these areas.

Team Collaboration & Support

  • Assist team members with daily tasks and provide guidance on complex procedures.

  • Share knowledge and best practices to promote skill development and consistency across the team.

  • Support internal stakeholders by responding to inquiries and providing high-level customer service.

  • Support and lead process improvement initiatives for Operations Services.

Experience & Education

  • High school diploma or GED required; college coursework or certifications in business, operations, or technology preferred.

  • IRA/HSA Certification preferred.

  • Minimum 3-5 years of banking operations experience, with demonstrated success in process improvement or technical roles.

  • Strong understanding of deposit account regulations, operational procedures, and banking systems.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with automation tools or data analysis platforms is a plus.
