Essential Duties and Responsibilities

  • Initiates the perioperative plan of patient care in EPIC as the initial member of the surgical services team.
  • Generates reports as need to assist with future case resource planning. Identifies patients that may need referral to other disciplines. Initiates referrals as needed.
  • Implements evidence-based MHS protocols.
  • Communicates relevant case scheduling orders made at time of scheduling
  • Schedules all surgical procedures utilizing EPIC OpTime by communicating directly with physicians through order entry or through the physicians' office staff via fax or phone call.
  • Utilizes clinical knowledge in the accurate booking of surgical procedures.
  • Obtains necessary positioning, implant and instrumentation and any other information pertinent to surgical procedures.
  • Works with physicians and specialty team leaders to develop and maintain surgeon preference cards.
  • Responsible to keep up to date shared resource file in OpTime for equipment and instrumentation for conflict checking
  • Reviews schedule for accuracy and assures non-overlapping shared resource allocation.
  • Schedules OR resources with other department needing services.
  • Assures patients' safety and meets nursing organizations regulatory, accreditation and licensure standards through consistent identification of the patient. Communicates necessary information to care team to ensure patient safety
  • Meets compliance needs of organization through appropriate scheduling of patient status.
  • Works with OR Manager, Pre Access and MHS Internal Audit personnel to ensure proper patient scheduling.
  • Communicates effectively in all interactions promoting customer satisfaction. Facilitates patient advocacy and enhances physician office staff relationships with MHS through prompt, efficient and thorough scheduling.
  • Consistently maintains professional communication.
  • Communicate with the healthcare team to address patient needs throughout the continuum of care.
  • Develops rapport with customers that establishes trust and that needs are met or surpassed.
  • Uses key phrases. Readily apologizes and recovers trust when perception that needs have not been met. -Documents thoroughly and accurately.
  • Telephone orders are read back verified. Complies with do not use abbreviation list. Ensures accurate spelling.
  • Assures that meetings and continuing education programs.
  • Utilizes resources prudently. Accurately and efficiently schedules resources focusing on patient flow.
  • Looks for ways to improve efficiency within the schedule without negatively impacting operations and/or patient safety.
  • Manages workflow of scheduling office.
  • Performs with competence using database software; EPIC; Kronos Payroll/Scheduling systems; spreadsheet software and word processing software.
  • Strong problem-solving abilities in complex situations.
  • Ability to work within the budget and productivity targets to meet organizational objectives.
  • Assures there are organized plans in place. A visible leader with outstanding relationship building skills.
  • Assists with daily/weekly timekeeping for Peri Op partners.
  • Assists with coordination of the schedule with sales reps, vendors and OR team leads and coordinators equipment, instrumentation and required implants.
  • Ability to obtain required reports requested by Supervisor, Manager or Director.

Education and Experience

High school diploma or equivalent is required. Associate's degree preferred.

Minimum of two years in a health care position. Prefer course training in medical terminology field.
