Job Description:

We are seeking a versatile and skilled Facilities and Events Specialist to join our team. This role combines responsibilities for meeting and event setup with general facilities tasks. The ideal candidate will be responsible for configuring rooms, managing furniture inventory, providing on-site support for events, and performing various maintenance duties to ensure the smooth operation of our facilities.

Key Responsibilities:

Meeting and Event Setup:
    • Review and interpret room configuration requirements.

    • Arrange furniture, equipment, and decor according to predetermined layouts.

    • Ensure rooms are aesthetically pleasing, functional, and ready before scheduled event times.

    • Provide on-site support and troubleshooting during events as required.

Furniture and Equipment Management:
    • Support onsite stored furniture inventory management.

    • Move and place furniture from storage to buildings as needed.

    • Set up, tear down, and load/unload equipment for various purposes.

    • Track FFE inventory for the REFS team; support break/fix onsite troubleshooting and resolution; escort vendors for the REFS project team; and assist REFS PMs with onsite requests.

Facilities Support:
    • Assist engineers and trades with electrical, plumbing, and HVAC repair work.

    • Perform basic handyman work and repairs (e.g., change filters, lamps, fix wall damage).

    • Complete general maintenance work and daily facility inspections.

    • Identify and report equipment issues.

Safety and Cleanliness:
    • Follow workplace health and safety rules.

    • Ensure all work areas are left in clean and safe condition.

    • Participate in response to emergency situations.

Customer Service and Communication:
    • Coordinate service with customers and handle complaints professionally.

    • Maintain excellent working knowledge of the designated CMMS platform.

    • Proficiently use MS Word, Excel, and SharePoint for documentation and communication.

Additional Responsibilities:
    • Produce and distribute keys as directed by the security team.

    • Support client moves by relocating office furniture, equipment, and supplies.

    • Perform other assigned operational tasks as needed.

Qualifications:

    • Previous experience in facilities management, event setup, or related field preferred.

    • Strong attention to detail and ability to follow specific instructions.

    • Excellent time management and organizational skills.

    • Physical ability to move furniture and equipment safely.

    • Basic handyman skills for various maintenance tasks.

    • Willingness to learn and assist with HVAC, electrical, and plumbing work.

    • Strong communication and interpersonal skills.

    • Flexibility to work varying schedules, including some evenings and weekends as required.

    • Ability to work efficiently under pressure and meet deadlines.

Education:

    • High school diploma or equivalent required.

    • Relevant certifications in facilities management or technical trades are a plus.

  • This full-time position offers the opportunity to work in a dynamic environment, ensuring the success of various meetings and events while supporting facility operations. The ideal candidate will be a versatile team player with a customer-service oriented mindset and a willingness to learn new skills.
