Position Summary
The Human Resources Specialist will serve as a part of the Human Resources Team in the Terry College of Business. This position is responsible for providing general human resources support to faculty, staff, and students at the Terry College of Business. This position ensures work and activities are ethically compliant related to confidentiality, security of information, and fiscal accountability. This position applies, communicates, and promotes human resources procedural best practices in hiring, position management, and general HR support of all position levels for the college. The Human Resources Specialist is knowledgeable of university policies and procedures and ensures all aspects of the human resources function are focused on providing a user-friendly, positive culture of customer service, good communication, attention to detail and policy, efficiency, timeliness and continuous improvement.
Knowledge, Skills, Abilities and/or Competencies

  • Proficient in Windows Operating System using Microsoft Office Suite of programs, including Word, Excel, and Outlook.
  • Ability to understand and navigate HCM systems (UGAJobs, OneUSG Connect).
  • Knowledge of University policies and procedures.
  • Ability to uphold confidentiality and integrity.
  • Ability to work independently as well as in a team environment with minimal direction.
  • Work effectively in a fast-paced environment while prioritizing multiple tasks.

Duties/Responsibilities
Support Terry College departments and programs in employee lifecycle of student, temporary, and part-time employees

  • Perform all actions in UGAJobs to process and maintain Terry College positions, including creating postings, processing new hires, and submitting requests for position modifications or evaluations.
  • Guide hiring departments and new employees throughout the hiring process, responding promptly to inquiries and tracking requests to ensure completion.
  • Manage the employee lifecycle for the Terry Opportunities for Undergraduate Research (TOUR) initiative, including guiding supervisors and students through hiring and onboarding, tracking reported hours, and coordinating renewals and terminations.
  • Manage graduate assistantships, including creating annual pay schedules, reviewing assistantship offer letters, tracking payroll changes, creating and maintaining PhD assistantship tracking spreadsheet, and submitting ad hoc salary change requests to the Terry College Business Office.

Terry HR Systems and Compliance

  • Serve as a point of contact for HR-related processes and procedures.
  • Monitor student and temporary employment terminations and request offboarding as appropriate.
  • Proactively monitor all escalated issues and work toward an expedient resolution.
  • Maintain accurate and up-to-date human resource files and documentation.
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Monitor I-9 reverification requests from UGA HR and notify employees of action needed.
  • Collaborate with the Office of the Associate Dean for Research and Executive Programs in matters related to PhD assistantships and the TOUR program.
  • Work with Directors of Graduate Studies and students to resolve non-compliant assistantships as identified by the UGA Graduate School.
  • Review and recommend revisions to unit-level HR processes as appropriate
  • Work on special projects as directed.

Assist in managing employee lifecycle

  • Initiate employee onboarding and orientation for various position types, including part-time faculty and retire/rehire appointments.
  • Assist in managing job changesand process terminations to ensure accurate record-keeping and timely access management.
  • Assist employees and supervisors, referring complex and/or sensitive matters to the Director of HR or UGA HR when appropriate.

Duties/Responsibilities
Unit Support

  • Participate in departmental and college-wide meetings, including OneSource status briefings.
  • Assist others within the Terry College Office of Finance and Administration and in other departments within the college in support of projects and coverage as needed and when others are away from the office.
  • Maintain up-to-date knowledge of Terry College and UGA policies and procedures and serve as a resource to Sr. Director of Finance and Administration and Human Resources Coordinator, as applicable.
  • Partner with Director of HR and HR Coordinators to maintain Terry HR website
  • Above is not all-inclusive, and position requires ability to multitask and respond on short notice throughout the workday to situations and issues that arise and need immediate action or attention.
