About the Job
The Operations Manager, of Radiation Oncology Administration oversees the administrative operations and strategic direction of the pediatric radiation oncology program. This role manages administrative and business systems and workflows. The manager provides comprehensive financial oversight, including responsibility for annual budgeting, volumes, and crossinstitutional financial coordination with PENN to ensure responsible and sustainable program operations and growth. In partnership with physician and hospital leadership, the position supports program planning, marketing initiatives, and outreach activities that enhance external referrals and program volume. The manager also serves as a key administrative resource to clinical teams, and institutional partners, ensuring operational excellence and alignment with enterprise goals. The operations manager interfaces with PENN Leadership and will be a key liaison between the CHOP Cancer Center and the PENN Radiation Oncology operations team.

What you will do

  • Managing the overall administrative and business operations of CHOP's interest in Radiation Oncology (RadOnc)
  • Collaborates with physician leaders in oncology, anesthesia, and radiation oncology, as well as the Clinical Pediatric Radiation Oncology Program Manager and the Sr. Director of Oncology Physician Practice Administration and Service Lines, to assess the pediatric radiation oncology program, establish strategic goals, and prioritize key initiatives
  • Serves as a primary administrative liaison between clinical leadership, hospital administration, and external partners
  • Responsible for ensuring compliance with invoice and financial workflows between CHOP and HUP for Rad Oncology CHOP patients, ensuring accuracy, and timely reconciliation
  • Evaluates and measures Key Performance Indicators (KPI's) including employee productivity& efficiency - with a goal of outstanding performance, patient & family experience, and nursing & provider satisfaction. Along with senior leadership, establishes individual and departmental performance metrics
  • Maintains strong, collaborative partnerships with clinical and support service departments, such as Nursing, Advance Practice Providers (APPs), Transport, Social Work, Child Life, Family and Visitor Services, and Information Services, to ensure excellent patient care and patient & family experience
  • Assists Program Manager, and Sr. Physician Practice and Service Line Director in developing and monitoring operational systems for maximum efficiency
  • Assists Program Manager, and Sr. Physician Practice and Service Line Director with developing and implementing departmental policies & procedures and other Campus and Enterprise operational initiatives
  • Directly supervises and coaches leads, and frontline staff
  • Participates in employee recruitment activities and disciplinary actions as appropriate
  • Key leader for internal business audits and ensuring proper compliance
  • Manages staffing, supplies, and service resources based on approved annual budgets in collaboration with Program Manager, and Sr. Physician Practice and Service Line Director and Finance Business Partner
  • Collaborates with Marketing and Public Relations to develop coordinated internal and external communication strategies that increase program referrals and volume.
  • Responsible for managing dashboards and work queues and identifying issues while assessing opportunities for operational improvement
  • In partnership with the Radiation Oncology Program Manager- Develops and ensures downtime procedures are kept up to date and reviewed quarterly
  • responsible for maintaining and updating patient and family facing written materials, such as the marketing/PR/Web materials
  • Demonstrates behaviors that exemplify organizational sensitivity, resiliency and flexibility, ability to influence, conflict management
  • Fosters open, transparent and effective communication at a local level and across the system as a whole, partnering with CHOP and HUP leaders

  • Promotes collaboration and sharing of resources with a focus on the development of flexible staffing and leadership across areas
  • Special projects and other duties as assigned.

Education

  • Bachelor's Degree - Required
  • Master's Degree in Business Administration, Management, or other Healthcare related field of study Preferred

Experience

  • At least two (2) years Supervisory experience and/or demonstrated ability to lead and manage a team - Required
  • At least four (4) years Healthcare management and/or operations experience - Preferred

SALARY RANGE:

$98,820.00 - $126,000.00 Annually

Salary ranges are shown for full-time jobs. If you're working part-time, your pay will be adjusted accordingly.
