The Workday Payroll Analyst uses analytical, technical, and problem-solving expertise to support, maintain, and optimize Workday Payroll and related HR and Finance system functionality. This role partners closely with Payroll, Finance, HR, IT, Clinical stakeholders, and other cross-functional teams to ensure payroll processing, accounting outcomes, reporting, and compliance activities are accurate, efficient, and aligned with Presbyterian Healthcare Services' operational and strategic needs.

The ideal candidate brings hands-on experience with Workday Payroll configuration and payroll processing, including earnings, deductions, tax setup, pay groups, pay period schedules, payroll accounting, account posting rules, and costing allocations. This role also requires strong consulting and advisory skills to guide stakeholders toward best-practice solutions, streamline business processes, and support stabilization and continuous improvement efforts in a healthcare environment.

In addition, this position requires experience supporting Workday release management activities, including planning, documenting impacts, writing test scripts, executing test cases, validating outcomes, and supporting adoption of new functionality during Workday's monthly and bi-annual releases. Responsibilities:

The Workday Payroll Analyst is responsible for supporting and optimizing payroll functionality within Workday and ensuring payroll operations remain accurate, compliant, and stable in a complex healthcare environment. This role serves as a primary resource for troubleshooting payroll issues, supporting payroll processing, configuring Workday Payroll components, managing testing and release impacts, supporting reporting needs, and coordinating cross-functional dependencies with HR, Finance, IT, Clinical teams, and external partners.

This position plays a critical role in ensuring Workday Payroll supports PHS operational requirements, including healthcare-specific compliance, financial controls, and integration dependencies (such as Epic).

Some key responsibilities include:

  • Workday Payroll Support & Sustainment:
  • Serve as a subject matter expert and provide consulting support to Payroll stakeholders on Workday Payroll functionality, configuration, and optimization.
  • Act as a primary point of contact for system troubleshooting, root cause analysis, and resolution of Workday Payroll issues impacting daily operations and payroll processing cycles.
  • Provide best practice guidance and consulting support to Payroll, HR, Finance, and IT stakeholders to drive process efficiency and operational improvement.
  • Advise Payroll stakeholders on business process design options, risks, and best-practice solutions, encouraging adoption of Workday-delivered functionality whenever possible.
  • Workday Payroll Configuration & Processing:
  • Configure and maintain Workday Payroll components including earnings, deductions, pay groups, pay period schedules, payroll calendars, run categories, and related business process workflows.
  • Configure and support payroll tax setup including company federal and state tax configuration, employee tax elections, and year-end/W-2 setup.
  • Configure and maintain payroll accounting setup including account posting rules, payroll accounting processes, and costing allocations.
  • Execute and support payroll processing activities (on-cycle and off-cycle), including payroll calculation, audit review, payroll completion, settlement, and reconciliation.
  • Support retroactivity and correction processing, including monitoring retro results and supporting payroll balancing and validation.
  • Ensure payroll outputs align with internal controls, regulatory requirements, and audit expectations.
  • Payroll EIBs, Data Loads, and Transactions:
  • Create, load, validate, and troubleshoot Payroll EIBs including payroll input, off-cycle payroll, period schedule updates, no-retro-prior-to-date, and other payroll-related data loads.
  • Evaluate and transform data from source systems to include actions such as extraction, parsing, joining, standardizing, augmenting, cleansing, consolidating, and filtering to support payroll processing and reporting needs.
  • Partner with IT and technical teams to support interface monitoring, integration troubleshooting, and data validation.
  • Payroll Accounting, Reporting, and Finance Partnership:
  • Partner with Finance and Accounting teams to support payroll-to-GL reconciliation and resolution of costing, posting, or allocation issues.
  • Develop and maintain Workday reports and dashboards to support payroll operations, compliance, and leadership decision-making.
  • Gather and document reporting requirements and translate needs into Workday reporting solutions or enhancements.
  • Collaborate with stakeholders to align reporting needs with Workday's standard delivered reporting capabilities whenever possible, leveraging existing reports and modifying where appropriate.
  • Cross-Functional Collaboration and Healthcare Integration:
  • Partner with HR, Compensation, Benefits, Absence, and Time Tracking teams to evaluate cross-functional impacts to payroll processing and ensure payroll stability.
  • Partner with IT and Clinical stakeholders to ensure accurate data integrations and reporting across enterprise systems, including healthcare-specific integrations (e.g., Workday and Epic).
  • Collaborate with stakeholders to streamline workflows supporting employee lifecycle events that impact payroll and finance outcomes.
  • Release Management & Testing Support:
  • Support Workday's monthly and bi-annual release cycles by coordinating release planning, documenting impacts, executing regression testing, and validating payroll results.
  • Develop and maintain test scripts, test scenarios, and test cases to ensure payroll changes are validated and production ready.
  • Partner with Payroll, HR, Finance, and IT teams to coordinate testing activities, confirm results, and ensure issues are triaged and resolved prior to deployment.
  • Document release outcomes, configuration changes, and lessons learned to support audit readiness and long-term sustainment.
  • Documentation, Training, and Continuous Improvement:
  • Contribute to the development of Functional Design Documents (FDDs), Business Requirement Documents (BRDs), interface designs, test plans, and standard operating procedures.
  • Deliver training, process documentation, job aids, and knowledge resources to promote adoption and long-term operational efficiency.
  • Recommend, counsel, and instruct Payroll functional areas on process improvement and system capabilities.
  • Monitor organizational needs and recommend process or system changes as appropriate.
  • Work Management and Prioritization:
  • Prioritize and manage multiple sustainment requests, enhancements, and operational issues while maintaining high levels of customer service.
  • Investigate recurring issues, perform root cause analysis on repeat system errors, and recommend corrective actions.
  • Support the development of policies, procedures, and best practices for payroll system operations, reporting, and compliance.

Qualifications:

Required Qualifications

  • Bachelor's degree required (six (6) years of additional relevant experience may be substituted in lieu of degree).
  • Proven experience supporting payroll operations, HRIS/payroll systems, or enterprise financial systems in a large-scale organization.
  • Hands-on experience with Workday Payroll configuration and payroll processing in a production environment.
  • Demonstrated experience configuring and supporting Workday Payroll elements such as:
    • Earnings and deductions
    • Pay groups and pay period schedules
    • Payroll calendars and run categories
    • Employee tax elections and payroll tax setup
    • Payroll accounting and posting rules
    • Costing allocations and payroll reconciliation
  • Experience supporting payroll processing including payroll calculations, payroll complete, settlement activities, and audit validation for both on-cycle and off-cycle payroll.
  • Experience creating, loading, and validating payroll-related EIBs (payroll input, off-cycle processing, period schedules, no-retro-prior-to-date, etc.).
  • Experience supporting Workday release management activities including impact assessment, test planning, writing test scripts, executing test cases, validating results, and coordinating adoption of payroll-related updates.
  • Strong analytical and troubleshooting skills with the ability to conduct root cause analysis and drive issue resolution.
  • Strong ability to communicate effectively with technical and non-technical stakeholders and provide consultative guidance.
  • Demonstrated ability to manage competing priorities and deliver results in a fast-paced environment.

Preferred Qualifications

  • Workday Payroll certification(s) strongly preferred.
  • Prior experience in a healthcare organization strongly preferred.
  • Experience with healthcare ERP/EHR integrations (e.g., Workday integrated with Epic).
  • Familiarity with CMS reporting requirements and nonprofit finance standards.
  • Payroll certification (CPP, FPC) preferred.
  • Prior experience supporting Workday Payroll regression testing and release readiness activities in a healthcare or large enterprise environment.
  • Experience supporting large enterprise payroll environments with complex costing structures, multiple pay groups, and multi-state taxation.
