The Administrative Coordinator uses professional concepts to apply organizational policies and procedures to oversee a variety of ongoing administrative operational needs for the Osher Center for Integrative Health (OCIH). The incumbent will provide support for center adminstration and clinical and public classes programs.The incumbent will serve as administrator of OCIH Public Education classes, including the Mindfulness-Based Stress Reduction (MBSR) program, and clinical programs led by Osher Center Clinical Programs Director. The incumbent applies organizational policies and procedures to analyze and resolve administrative problems of moderate complexity, support program implementation, and provide structured recommendations on workflow efficiencies, data tracking, and compliance. While the incumbent does not have financial oversight, the role requires tracking enrollment and program data to support informed decision-making by program leadership.
Osher Center operations responsibiliities include activities in human resources, event planning, space planning, facilities, IT, asset/resource management, safety, and development. The Administrative Coordinator analyzes and resolves operational problems of moderate scope.
Clinical program responsibilities include activities in public education classes, Community Care Fund program support, and data collection. The incumbent will serve as administrator of OCIM Public Education classes, including the Mindfulness-Based Stress Reduction (MBSR) program. This includes providing administrative support for the public education classes and includes working with the Clinical Program Director, MBSR Program Director, teachers, and students for successful completion of year-round classes. The incumbent will engage in strategic outreach and long-term planning for the public education classes by reaching out to previously determined individuals and sites. Works closely with the Communications Coordinator to fulfill outreach efforts internally (UCSF) as determined by Communications Coordinator and Program Directors; provide administrative support for the Community Care Fund, a fund used to support patients with limited financial resources.
Involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services include activities in finance and human resources and may also include IT, facilities, or student services. General management activities include long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff.
Responsibiliities include activities in human resources, finance, event planning, space use planning and coordination, facilities, IT, asset/resource management, safety, and development. The Administrative Coordinator analyzes and resolves operational problems of moderate scope with mimimal supervision. Some evening hours will be required to support occasional classes and meetings.
The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $29.05 - $53.50 (Hourly Rate). Required Qualifications
- Bachelor's degree in relevant field and 1+ years of work experience in clinical, administrative, or program operations or an equivalent combination of education and experience.
- Ability to use sound judgment in responding to issues and concerns.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff and students/patients verbally and in writing
- Solid organizational skills and ability to multi-task with demanding timeframes.
- Working knowledge of common organization-specific and other computer application programs.
- Ability to use discretion and maintain confidentiality.
- Ability to identify and adhere to established protocols, as well as identify needs to improve or establish new protocols to improve operational effectiveness and objectives.
- Willingness to participate in an 8-week Mindfulness-Based Stress Reduction (MBSR) class at Osher Center for Integrative Health within 6 months of hire (paid for by OCIH)
