Position Overview
We are seeking a Scheduler / Planner to support facilities management operations for a large commercial building located in the Miami Business District. This role is responsible for planning, scheduling, and coordinating maintenance activities, service contracts, and contractor work to ensure efficient operations, cost control, and full compliance with client and contract requirements.
The Scheduler / Planner plays a critical role in aligning personnel, materials, and service activities while maintaining high customer satisfaction, operational reliability, and accurate documentation through Computerized Maintenance Management Systems (CMMS).
Key Responsibilities - Work Order & Scheduling Management
- Manage routine, corrective, preventive, and emergency service requests.
- Create, track, and close work orders for preventive maintenance (PMs), corrective repairs, and reactive service activities.
- Plan and schedule daily activities for in-house technical teams and third-party contractors.
- Dispatch technicians and service providers to meet contract SLAs and customer expectations.
- Maintain schedules for preventive, corrective, and reactive maintenance work.
Contractor & Vendor Coordination
- Coordinate subcontracted service providers for maintenance and repair activities.
- Schedule contractor access to the facility in coordination with the Facility Manager and client.
- Debrief technicians and trades personnel following completion of work.
- Manage manufacturer warranties, service agreements, and associated parts.
- Review and validate vendor invoices for accuracy, service dates, labor, materials, and costs.
Materials, Parts & Documentation
- Order required parts, materials, and equipment to support maintenance and repair activities.
- Maintain billing records, material staging, and inventory data within the CMMS.
- Ensure all labor, materials, service history, and documentation are accurately recorded and work orders are properly closed.
- Maintain customer and equipment history files within the CMMS.
Systems, Reporting & Compliance
- Ensure effective execution of maintenance work control processes using the CMMS.
- Coordinate with the On-Site Manager, Service Manager, and maintenance teams to ensure all equipment assets and preventive maintenance schedules align with manufacturer recommendations.
- Report accidents, incidents, and unsafe conditions promptly and support corrective actions.
- Attend required training programs (classroom and virtual).
Qualifications
- At a minimum, an associate's degree.
- Minimum of five (5) years of related experience in facilities, construction, manufacturing, or service scheduling.
- Experience supporting commercial facilities management operations.
- Facility service contracting and contractor coordination experience.
- Experience using Computerized Maintenance Management Systems (CMMS).
- Excellent command of English; working knowledge of Spanish preferred.
- Strong ability to prioritize multiple service requests and drive continuous process improvement.

HIRING HOURLY RANGE: $29-39 (Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
