Overview
Responsibilities of this role are to provide administrative services and handle confidential matters for the Managers in the Human Resources Department, as well as serving as a program coordinator for defined programs and a liaison for Trustmark associates, HR Committee of the Board, and outside agencies.
Responsibilities
Coordinate HR governance related activities for committee meetings (Human Resources Committee, Management Human Resources Committee and Associate Benefits Subcommittee) including the preparation of on-line meeting agenda and books in the Board portal software, minute preparation and post meeting communications to appropriate stakeholders
- Prepare and maintain reports for all official title promotions and officer separations for the Bank Board meetings
- Serve as the Relocation Coordinator for associates being relocated by Trustmark. This includes temporary housing, reimbursements for house hunting, real estate commission, closing costs, etc. Coordinate with vendors providing services, i.e., moving company, corporate housing company, etc.
- Prepare and archive offer letters that are sent by the Talent Acquisition for new hires and transfers. Assist in collection efforts and record keeping for sign-on, relocation bonus, and cafeteria reimbursements
- Coordinate retirement recognition including the preparation of the Trustmark 40- and 50-year club and necrology reports for the Mississippi Bankers Association and other affiliated states.
- Coordinate memorials and place florist orders on behalf of Trustmark related to hospital stays and death of associates and death of immediate family members of associates
- Coordinate the following Employee Relations and Compliance related activities:
- Update weekly inactive associate report to identify whether associate is on FMLA, vacation, or other leave and follow-up with their managers for clarification
- File responses to unemployment claims based on feedback from the Employee Relations Partners
- Ensure disciplinary documentation has been received and entered into the TrustmarkNow Employee Center
- Distribute and track Exit Survey Data
- Provide administrative and operational support to HR leadership and team members
- Perform additional duties as assigned.
Qualifications
- 3-5 years of work experience as an executive assistant, paralegal, or legal assistant
- Advanced computer skills in Microsoft Office include Word, Excel, and PowerPoint (test required)
- Excellent organizational skills with ability to prioritize, multi-task and manage time efficiently
- Excellent written and verbal communication skills
- Excellent interpersonal skills including diplomacy, tact, persistence, and the ability to maintain confidentiality
- Ability to work independently without direct supervision
- Be able to maintain confidentiality of HR information
- Knowledge of Trustmark's management team, organizational structure, and operational functions as they exist on the corporate and community level preferred
