Position Summary

The Housing Operations Coordinator is responsible for the year-round planning, coordination, and execution of summer camps, conferences, internship housing, and other seasonal housing programs at Saint Louis University. This position plays a critical role in supporting revenue through external housing partnerships while also overseeing furniture operations across the residential system.

The role manages complex logistics, client communication, contract development, and staffing for summer programs and serves as a key liaison between Housing Operations, campus partners, and external clients. This position also oversees furniture repair, inventory management, and student staff supervision to ensure residential spaces are prepared to meet academic-year and summer housing needs.

Essential Duties and Responsibilities Camps, Conferences, and Summer Housing Operations
  • Plan, coordinate, and manage all aspects of summer camps, conferences, and conference housing programs throughout the year

  • Serve as the primary point of contact for external clients, including communication, scheduling, logistics, and coordination

  • Develop, review, and manage housing contracts and agreements in collaboration with campus partners

  • Coordinate housing assignments, move-in/move-out processes, keys/access, and operational logistics for summer programs

  • Work closely with Facilities, Dining, Public Safety, Residence Life, and other campus partners to ensure successful program execution

  • Monitor timelines and operational readiness for all summer housing initiatives

Revenue and Program Support
  • Support summer housing and conference revenue initiatives, including internship housing and other seasonal programs

  • Track program participation and assist with revenue forecasting and reporting

  • Identify opportunities to improve operational efficiency and enhance the client experience

  • Maintain accurate documentation related to contracts, logistics, and program outcomes

Staffing and Training
  • Hire, train, and supervise temporary and student staff supporting summer conferences and housing operations

  • Develop training materials and operational procedures for summer conference staff and furniture crew team members

  • Provide ongoing supervision, scheduling, and performance feedback to assigned staff

Furniture Operations and Inventory Management
  • Oversee furniture operations across residential spaces, including repair, replacement, and preparation for academic year and summer use

  • Hire, train, and supervise student staff responsible for furniture repair and movement

  • Maintain accurate furniture inventory records and track condition and lifecycle needs

  • Coordinate furniture ordering, storage, and replacement in collaboration with Housing Operations leadership

  • Align furniture planning with summer camps, conferences, and turnover schedules

Collaboration and Administrative Responsibilities
  • Maintain policies, procedures, and operational documentation related to camps, conferences, and furniture operations

  • Participate in planning for academic year opening, summer turnover, and large-scale housing transitions

  • Perform other duties as assigned in support of Housing Operations goals

Required Qualifications
  • Bachelor's degree required

  • 2-4 years of experience in housing operations, conference services, auxiliary services, facilities coordination, or related field

  • Experience coordinating complex logistics or large-scale programs

  • Experience supervising student or temporary staff

  • Strong organizational, communication, and time-management skills

  • Ability to manage multiple projects simultaneously in a fast-paced environment

  • Proficiency with basic office software and database systems

Preferred Qualifications
  • Experience in higher education housing or conference services

  • Experience with contract development or external client relations

  • Knowledge of residential facilities, furniture systems, or inventory management

  • Experience supporting revenue-generating auxiliary operations

Work Environment and Schedule
  • This position requires flexibility in work hours, including occasional evenings and weekends, particularly during summer operations and peak housing periods

  • Increased workload is expected during summer months in support of camps, conferences, and turnover operations
