Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for The Rutgers Democracy Lab (
RDL) within the Eagleton Institute of Politics. Reporting to the
RDL Business Manager
III and the Chief Operating Officer, this position provides day-to-day administrative and financial support to
RDL leadership, faculty, staff, and students, with a primary focus on high-volume financial processing, reporting, and detailed administrative operations.
Among the key duties of the position are the following:
- Manages the Chief Operating Officer's calendar, scheduling, appointments, meetings, and assists with correspondence.
- Prepares, reviews, and reconciles with accuracy all purchase orders, IPOs, cash transmittals, journal entries, commitments, financial transactions and documents.
- Processes payroll appointments and transactions and business expense reimbursements, among other duties.
- Works to ensure compliance, accuracy, and timely processing of financial and administrative functions that support the Lab's programs, partnerships, and operations.
- Participates in institute-wide and/or cross-team projects.
- Organizes and processes travel arrangements for faculty, staff, and guest speakers, and processes business expense reimbursements through Concur.
- Supports logistics and administrative coordination for student programs and initiatives, including tracking deliverables and documentation.
The Eagleton Institute is a collaborative team. On occasion, all members are asked to participate in Institute-wide and/or cross-team project.

Qualifications
| Minimum Education and Experience |
- Bachelor's degree in accounting, finance, business administration, or a related field, or an equivalent combination of education and/or experience demonstrating knowledge of generally accepted accounting principles and practices.

- Strong organizational skills and attention to detail; ability to manage multiple priorities with accuracy and a sense of urgency.

- Strong communication and interpersonal skills; ability to work effectively with a diverse group of faculty, staff, students, and external partners.
- Computer literacy, including proficiency with Microsoft Office applications, particularly Excel and Word.

- Professional demeanor, diplomacy, and sound judgment.
