Position Summary:

The Administrative Assistant III is a staff member of the PA Program at Creighton University in Phoenix. This position supports the PA Program manager and program director, as well as the PA faculty members. The individual best-suited for this position is driven and independent and can think critically. This position is an integral member of a cohesive team that supports a health profession educational program.

Essential Functions:



  • Support the Program Director and program faculty to perform complex and diverse duties, including communication, scheduling and correspondence with students, faculty, and health care professionals who serve as clinician preceptors and guest speakers
  • Responsible for general office duties, including mail distribution, answering phones, ordering office supplies, taking notes, creating agendas, and compiling minutes for various meetings
  • Schedule lectures, appointments, travel, and meetings
  • Assist the Program Manager with admissions operations including answering general program email and phone inquiries, data entry leading campus visits and tours, and interview day operational logistics
  • Independently manage projects and tasks that may require personal initiative, research, and critical thinking
  • Assist the Program Manager in organizing and planning program events such as graduation, student orientation, and White Coat ceremonies
  • Manage highly confidential student information
  • Serve as a welcoming communications liaison for the program, regularly interfacing with students, applicants, and others with interest in the program
  • Assist with new employee orientation and logistics
  • Organize and prepare data for accreditation reports
  • Troubleshoot and problem solve independently when complex situations arise
  • Ongoing professional and skill development to grow professionally, broaden understanding of PA education, and to maximize contributions to the PA Program and the School of Medicine
  • Some travel may be required for student recruitment and professional meetings
  • Other duties as assigned by the Program Manager and/or Program Director



Education & Experience:



  • High school diploma required, Bachelor's degree preferred
  • 6-8 years of administrative experience, preferably in an educational setting



Knowledge, Skills, and Abilities



  • Proficient in Microsoft Office products.
  • Ability to maintain confidentiality.
  • Organizational and Time Management Skills, Project Management skills/experience.
  • Ability to communicate effectively with people at all levels, self-starter.
  • Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline oriented environment.
