Job Description

Works on routine/basic administrative duties with limited supervision.

Duties include filing, computer work, answer phones, report compilation, work in reception areas as needed, maintain files/logs, and prepare reports, presentations, contract, and other documents using standard software.

Other duties may be assigned.

Provides administrative support to Pro2Serve and/or clients including the following:


  • Composing and typing routine correspondence
  • Copying correspondence or other printed matter
  • Filing correspondence and other records
  • Transcribing dictation from voice recording
  • Answering telephone and providing information to callers or routing call to appropriate team member
  • Placing outgoing calls
  • Preparing, proofreading, and formatting complex reports, presentations, and contract/task order documents using standard software.

Receives incoming calls for directors and provides information, redirects callers to voice mail or takes other messages.

Routes incoming mail and faxes for employees and managers. Prepares outgoing mail.

Schedules appointments and coordinates itineraries as needed. Arranges travel schedules and reservations as necessary.

Greets visitors, determines visitors' needs and refers visitors to appropriate team member(s).

Assists with scheduling, meal planning, and other needs as required.

Maintains conference room schedules.

Acts as receptionist or backs up receptionist when needed.

Demonstrates ability to get along with coworkers, customers, and visitors.

Performs other duties as assigned by supervisor.

Job Requirements

Position requires associate degree in business (or other DOE-related field) from accredited school. High School Education or GED and two (2) years of commensurate business office experience may be substituted for the associate degree.

Requires 6+ years previous administrative and general business experience.

Must be familiar with Microsoft suite including Outlook, Teams, Word, PowerPoint, Excel and other applications within.

Able to read and interpret documents such as operating and maintenance instruction and procedure manuals.

Able to write routine reports and correspondence.

Able to speak effectively before groups of customers or employees.

Able to calculate figures and amounts.

Able to define problems, collect data, establish facts, and draw valid conclusions. Able to interpret a variety of instructions deal with abstract and concrete variables.

Able to operate office copier, fax and computer are required.

Federal Government Clearance:

This position may require the ability to obtain a government clearance. This position may require reviews and test for absence of any illegal drugs along with a background investigation by the Federal government in order to obtain an access authorization prior to employment, and subsequent reinvestigations may be required.

Pay Rate:
$23.50-$26.50 per hour (non-exempt position)
