We are seeking a proactive and detail-oriented Administrative Coordinator to support the daily operations of a growing nuclear industrial business in Oak Ridge, TN. As a key member of the team, you"ll be instrumental in ensuring the office runs smoothly, meetings are well organized, and business needs are anticipated and met with efficiency.
This role is ideal for a resourceful individual who enjoys variety in their day, takes initiative, and thrives in a fast-paced, highly professional environment.

Key Responsibilities
*Office Management:
Maintain the day-to-day organization and function of the office, including supplies, mail, equipment coordination, and vendor management.

*Meeting & Calendar Coordination:
Schedule internal and external meetings across multiple time zones, ensure appropriate materials are prepared, and provide reminders to attendees.

*Travel & Event Planning:
Coordinate travel arrangements for staff and executives (airfare, lodging, rental cars), plan and support employee attendance at industry conferences, and manage logistics for team offsites and corporate events.

*Food & Hospitality Coordination:
Arrange catering and in-office meals for meetings and special events; anticipate hospitality needs and execute with a high level of service.

*Purchase Order & Invoice Coordination:
Track and submit PO requests, work closely with finance or procurement to manage vendors, and ensure timely payment and documentation.

*Anticipate & Support Business Needs:
Take initiative to identify areas for improvement and streamline administrative processes. Proactively support leadership and teams to keep the business running efficiently.

*General Administrative Support:
Prepare documents, presentations, and reports; assist with onboarding new hires; support special projects as assigned.
